The Administrative Assistant will provide support and perform support functions including document preparation, creating and maintaining Excel spreadsheets, PowerPoint presentations, and administrative functions. The incumbent will be responsible to allocate and manage their time appropriately to support the team and general office/admin projects. This position has opportunity for advancement as well as personal and professional growth. Responsibilities:
- Production of documents, revisions, and proofread various documents
- Coordinate and confirm travel arrangements
- Review and process time and expense reports
- Order and maintain office supplies, while providing cost comparisons of products
- Prepare ad hoc reports for management
- Register team members for annual professional seminars
- Assist with the preparation of materials for conferences and new hire orientation.
- Assist in the orientation and on-boarding process of new hires
- Reserving conference rooms and meeting space in other office locations
- Process accounts payable through central accounts payable
- Perform related clerical tasks such as photocopying, faxing, mailing, sorting mail, and scheduling conference rooms
- Research information via the Internet, Intranet and company databases
- Communicate and ensure the Firm’s standards for formatting are applied to all correspondence, presentations, and reports
- Maintain firm’s mailing lists with updates and directory changes as required
- Perform special projects and assume certain responsibilities as assigned by the Operations Manager
- Assist team with administrative requests
- Provides IT support to troubleshoot issues with printing, scanning and laptop setup
- Administrative support to Partners
- Prepare PowerPoint presentations for clients and training
Requirements:
- Strong attention to detail
- Experience with Microsoft; Excel, Word, Adobe Acrobat, Power Point, Outlook
- Proficient to Expert user in Word and PowerPoint skills
- Strong interpersonal and communication skills (both written and verbal)
- Ability to multi-task, high attention to detail, and follow through to resolve outstanding issues
- Excellent writing and proofreading abilities with an emphasis on accuracy, spelling, punctuation, and grammar.
- Must be an organized self-starter, highly motivated, and results oriented, must be personable, have the ability to effectively communicate with clients and all staff types, and must be able to interact in a service-oriented environment.

- Exhibit discretion, professionalism, confidentiality and good judgment
- College degree a plus, general business experience preferred
