The Administrative Assistant will have administrative responsibilities and will frequently involve independent judgment. Assists in coordinating, implementing and monitoring approved firm marketing projects for the Financial Institutions practice. Provide backup to the department’s other administrative professional(s).

Essential functions include the following example duties:

  • Supports all service delivery and marketing/business development/growth efforts of the financial institutions practice.
  • Proofreads and corrects drafts for grammar, punctuation, spelling, and addition, in order to produce error-free work.
  • Answers telephones and answers routine questions or route calls to appropriate staff members.
  • Schedules appointments, keeps appointment calendars, and schedules travel arrangements, as requested for specific departments or staff.
  • Types and binds reports, assembles manuals and seminar materials, and assists in creating training materials for events.
  • Work with practice leadership to maintain the user group listings and regulatory mailing list(s).
  • Coordinate scheduling of bank client service calls, webinars, and business roundtables/councils.
  • Assist managers with GoToMeeting, GoToWebinar or other meetings/conference calls; set up and monitor questions during the sessions.
  • Tracks client and prospective client data and compiles marketing reports, possibly using various software products.
  • Receives, reads and routes incoming mail (including email) to shareholder or department staff.
  • Maintains files (electronic, etc.) of correspondence and other records.
  • Maintains control files (electronic, etc.) of matters in progress.
  • Assist the practice’s marketing activities, including coordinating follow-up after presentations or business development visits.
  • Maintain financial institutions practice marketing materials; pack and ship for conferences and presentations.
  • Provides support for all marketing communications and presentation materials, including brochures and literature, newsletters, direct response pieces, and any other materials.
  • Assists with the preparation and submission of written proposals; maintains files on all proposals, together with tracking results.
  • Assists with the establishment and maintenance of firm marketing distribution lists.
  • Work with Marketing and practice leadership to monitor social media platforms.
  • Performs such other duties as may be assigned.

Qualifications:

  • Requires a bachelor’s degree in business administration or equivalent.
  • One year of general administrative and clerical experience.
  • Knowledge of current office methods and procedures, telephone etiquette, and office equipment, as well as business English usage, spelling, grammar, and punctuation.
  • Ability to work under pressure, perform several tasks concurrently with speed and accuracy.
  • Self-starter with ability to work well independently with a team of diverse personalities with minimal supervision.
  • Skilled in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Adobe InDesign experience a plus.
  • Strong verbal, organizational and interpersonal skills.
  • Executes assignments of a confidential nature; requires ability to keep matters confidential.
  • Heavy overtime hours may be required during busy times; may be in excess of 50 hours per week.
