Description:This position reports directly to the Lockheed Martin Aero-Pinellas General Manager. The selected candidate will regularly interface with executive level leadership across Lockheed Martin Aero, senior leadership within Aero-Pinellas, local officials, and customers.
The role requires a can-do mindset with a change-forward approach. Daily tasks will vary based upon business priorities.
Responsibilities include but are not limited:
- Resolving priorities in a constantly changing, fast paced environment
- Balancing workload priorities with short deadlines
- Executive calendar management
- Coordinate and secure domestic travel arrangements
- Prepare and process expense reports
- Coordinating and/or executing various communications to site’s leadership team and/or employee population
- Track and post department expenses and prepare weekly personnel and activity reports
- Interview callers and make proper referrals
- Receiving, referring, or answering mail
- Create and update presentations – highly advanced in Microsoft Office applications such as Power Point, Word, and Excel strongly preferred
- Collect signatures on several different internal documents/paperwork, track status and communicate post-meeting status to process owner.
- Work effectively with other executives’ administrative assistants, business leads, conference room owners, video conference employees, contracts employees and meeting attendees.
- Must be able to work independently and use personal initiative to formalize processes and streamline operations
Basic Qualifications:
Three (3) years administrative experience.
Advance experience in Microsoft Office Suite – Outlook, (specifically Outlook Calendar management), Microsoft Word, Excel, Power Point.
Experience in managing emails, calendars & schedules.
Experience interfacing with Customers.
Desired Skills:
Experience arranging travel and expense reports.
Experience with event planning.
Experience interfacing with government officials.
Demonstrated strong written and verbal communication skills.
Outstanding communication and interpersonal skills including the ability to interface with all levels of internal and external customers.
Experience in coordinating facilities issues including office moves, order office supplies, and manage conference rooms, set up of audio/visual systems and equipment.
Experience in facilitating the set-up of meetings which include coordinate, schedule and e-mail meeting notices, reserve conference rooms, arrange video conference, prepare meeting rooms, print and post charts, set up teleconferences, drive charts and/or assist with Teams meetings.

Ability to Work Remotely: Onsite Full-time: The work associated with this position will be performed onsite at a designated Lockheed Martin facility.
Work Schedules: Lockheed Martin supports a variety of alternate work schedules that provide additional flexibility to our employees. Schedules range from standard 40 hours over a five day work week while others may be condensed. These condensed schedules provide employees with additional time away from the office and are in addition to our Paid Time off benefits.
Schedule for this Position: 4×10 hour day, 3 days off per week
