Administrative Assistant needed for Tampa company.
Position summary: Proactively support the manager and department as needed to keep the department fully functioning and able to maintain/exceed expected outcomes. Managing and maintaining communications and information, clerical and administrative duties, planning, scheduling, office organization, research, information handling and guest services.
Key Responsibilities:
1. Effectively utilize proprietary, industry specific and general MS Office software to support the needs of the department (i.e. report generation, spreadsheets, tracking mechanisms, presentation preparation, and calendar maintenance)
2. Support the manager and department on a day-to-day basis (and as needed) while portraying constant professionalism at all times and exercising confidentiality. (i.e. schedule and prepare for meetings both on and off site, assist with a variety of projects relating to the department, supply ordering, lunch ordering, anticipate department needs, various departmental related errands )
3. Responsible for travel and accounting related activities for the department (i.e. Corporate Card reconciliations, expense reports, submitting purchase orders and check requests, all aspects of travel arranging, coordinate conference travel and materials)
4. Demonstrates an ability to use critical thinking skills and make sound judgment calls with little or no assistance.
Qualifications/Education/Certifications:
High school diploma or general education degree (GED); and three to five years related experience and/or training; or equivalent combination of education and experience required.
Knowledge, Skills and Abilities:
Excellent communication skills required, including ability to write professional correspondence. Must have demonstrated ability to collaborate interdepartmentally to achieve desired outcomes. To perform this job successfully, an individual should have an intermediate knowledge of MS Office software. Ability to anticipate the department’s needs without being asked and to problem solve proactively are required.
