Provides administrative services to individual(s) or a department, including calendar management, travel arrangements, expense reporting, correspondence, reception/switchboard, filing, mail delivery, external courier services, data entry, document management services, records management, office security, budget monitoring and office supply orders. Books meetings, documents meeting procedures and arranges special events. May provide administrative services to a site/location, typically in the area of print production, mail services and conference room setup. May handle special projects of an administrative nature.

Performance Objectives:

Excellence

  • Challenging and varied work that fosters continuous development of technical and administrative skills
  • Develop a strong understanding of the Health and Benefits line of business
  • Work directly with our consultants on a variety of client deliverables
  • Provide advanced level support in the full Microsoft Suite, specifically Word, PowerPoint and Excel
  • Support the development of client documents including presentations and contracts in PowerPoint, Word and other written documentation/communication
  • Prepare BrainShark files
  • Ensure quality control/proofreading/editing
  • Seek and participate in key learning and development opportunities/maintain steady progress
  • Manage meeting/event coordination and preparation
  • Coordinate complex scheduling and travel arrangements; expense reporting
  • Participate in team meetings and support the capturing and completion of next steps and action items
  • Support administrative needs of leaders in partnership with other administrative staff

Clients

  • Oversee client project administration (including project set-up and contract administration, file maintenance, etc.)
  • Provide assistance in new business activities – e.g. market research, RFP response preparation
  • Deliver on projects to meet or exceed client expectations
  • Increase efficiency by identifying ways to improve processes
  • Build strong relationships with clients particularly administrative support; serve our clients in a professional and collaborative manner

People

  • Build strong relationships internally and collaborate effectively on cross-functional teams
  • Demonstrate natural ease and effectiveness when dealing with clients/colleagues at all levels
  • Work in a supportive, team-oriented environment
  • Support the collaborative team environment by partnering with other administrative staff through workflow, partnership and teamwork to support all team needs

Financial

  • Prepare client invoices and generate client/project financial reports in a timely fashion as needed
  • Research billing and expense discrepancies

The Requirements

  • 5+ years’ experience providing administrative support
  • Ability to work well with colleagues at all levels
  • Ability to interface with clients effectively
  • Strong sense of professionalism and maturity
  • Outstanding technical skill in MS Office (Word, PowerPoint, and Excel) and Internet Explorer
  • Demonstrated expertise with PowerPoint charts and graphs
  • Ability to produce consistently high-quality results under tight deadlines
  • Excellent organizational skills, accuracy, and attention to detail
  • Resourceful, proactive self-starter with the ability to think ahead
  • Ability to multi-task and work independently, as well as part of a team
  • Excellent verbal and written communication skills
