Property Manager
Position: Administrative assistant
Salary Range: NON– Exempt
Summary: Responsible for supporting property managers, assisting in daily office needs and managing our company’s general administrative activities
Duties and Responsibilities include (but not limited to):
• Answer and direct phone calls
• Write and distribute email, correspondence memos, letters, faxes and forms
• Assist in the preparation of regularly scheduled reports
• Develop and maintain a filing system
• Update and maintain office policies and procedures
• Order office supplies and research new deals and suppliers
• Maintain contact lists
• Submit and reconcile expense reports
• Receive service requests and assign daily work duties to service associates.
• Assist in coordinating contractors or vendors on job sites for turning units or buildings.
• Follow up on service requests to assure the highest quality of customer satisfaction and all other duties as may be assigned.Maintain service request history to include elevator log, fire equipment log and AC log.
• Act as the point of contact for internal and external clients
• Turn on and off utilities for properties and maintain utilities log
• Type up lease paperwork and grants
• Maintain Certificate of Insurance for all properties
• Manage City of Tampa violations to confirm we are in compliance.
• Update market survey monthly.
• Perform other assigned tasks required by Property Manager.
Education:
Minimum requirement: High School Diploma
Experience:
Proven experience as an administrative assistant. Prior apartment and commercial experience desirable.
Skills:
Proficiency in MS Office (MS Excel and MS Power Point). Working knowledge of office equipment. Excellent written and verbal skills.
Good communication skills essential to interact with team associates, prospective residents, current residents, vendors and contractors. Customer service oriented with high commitment to quality and job satisfaction.
Travel:
Able to travel to commercial and residential properties or to run errands as needed.
