Position Summary:
The Administrative Assistant provides assistance and support of corporate administration and performs designated non-insurance activities. Processes the daily mail. Primary back up for the front desk (receptionist).
Essential Functions:
- Maintains agency contracts with Insurance Companies, physically and electronically
- Assists President and CEO as needed
- Completes employees’ termination of appointments. Maintains employees’ appointment files
- Checks the state of Florida website to verify appointments
- Takes minutes, composes agendas and distributes minutes for management meetings
- Maintains and produces mass mailings, as directed by management
- Performs all actions relating to the public, customers, and companies in a manner that will avoid issues involving potential errors and omissions
- Prints and mails monthly letters for PRM/PL clients
- Primary back- up for the receptionist
- Processes daily mail.
- Prints and mails hurricane letters to clients
- Assists other departments as needed
- Monitors and purchases office supplies
- Performs other duties as requested
- Updates documents to the Library as requested
- Assists the Marketing department with MVRs
Knowledge, Skills and Abilities:
- High School diploma or equivalent
- Type minimum of 50 words per minute
- Intermediate skill level in Microsoft Word
- Excellent grammatical and punctuation skills
- Must know alphabet and numeric sequencing, with ability to communicate effectively
- Self-starter, imaginative and creative with good communication skills both verbal and written
- Professional demeanor
- Two years clerical office experience
