The Administrative Coordinator will assist the President of Tampa Bay Storm along with VP of Football Operations with the daily administrative functions of football operations. This position will also perform various other duties and requires excellent customer service skills. The ideal candidate will have the ability to perform these tasks quickly while working in a fast-paced, team-oriented professional environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assist in team finances by tracking and recording all expenses for budget reference, filing expense reports for staff, maintaining expense logs and receipts for corporate credit cards, and preparing corporate financial reports.
- Create Purchase/Trade/Usage reports for all invoices and works with Tampa Bay Times Forum accounting department to ensure invoices are paid.
- Maintain an open line of communication with AFL front office contacts in regards to player payroll, worker’s compensation, and team transactions.
- Is the main conduit of communication with players, coordinates team housing changes and requests, schedules medical appointments, handles compensation inquiries, activates gym memberships, and regularly delivers all pertinent information to players and staff.
- Handle player meals by coordinating team dinners, pre-game meals, and weekly lunch vouchers.
- Assist with player appearances, open tryouts, youth clinics, and training camp.
- Execute numerous game-day duties including fulfilling staff, coach, officials, and player ticket needs and parking requests, and coordinating visiting teams’ travel and needs.
- Schedule and coordinate all meetings, appointments, travel, and lodging for the team and staff.
- Fills receptionist and customer service roles by answering telephones, directing calls throughout the Tampa Bay Times Forum, and responding to all fan questions/requests.
QUALIFICATIONS
- 2 – 3 years relevant experience performing the essential duties listed above
- Strong attention to detail
- Excellent written and oral communication skills
- Advanced knowledge of Microsoft Office (Outlook, Excel, PowerPoint, and Word)
- Ability to handle and prioritize multiple projects simultaneously
- Ability to work collaboratively with others
- Ability to handle all situations in a confidential and professional manner
