This is work performing duties too varied and diverse to be classified in any specific office clerical occupation, requiring basic knowledge of office management systems and procedures.  Clerical duties may be assigned in accordance with the office procedures of individual establishments and will include a combination of answering telephones, typing or computer processing, office machine operation and filing.

EXAMPLES OF WORK

Compile, copy, sort, and file records of office activities, business transactions, and other activities.

Computes, records, and proofreads data and other information.

Operates office machines.

Completes and mails documents.

Stuff envelopes and addresses, stamps, sorts, and distributes mail, packages, and other materials.

Compose and type letters and other correspondence.

Answer telephone, responds to requests, delivers messages, and runs errands.

Reviews files, records, and other documents to obtain information to respond to requests.

Communicates with customers, employees, and other individuals.

Inputs and retrieves program specific information and/or prints program documents.

KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge of general office procedures and practices.  Knowledge of correct grammar usage.  Ability to prepare reports and correspondence.  Ability to compile, organize, and analyze data.  Ability to work under pressure and meet time frames.  Ability to communicate both verbally and in writing.  Ability to establish and maintain effective working relationships.  Ability to review data for accuracy and completeness.  Ability to utilize computer equipment and software to enter, retrieve and manipulate data to perform required duties.

Ability to work independently.  Typing skills including proper format of letters, memoranda, and reports with correct grammatical usage.  An individual employed in this position must have the ability to utilize microcomputer equipment and software to enter, retrieve, and manipulate data required to perform functions.

MINIMUM QUALIFICATIONS:

  • A minimum of two years of secretarial or clerical work experience
  • A high school diploma or its equivalent can substitute for one year of the required work experience.
  • College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience.
  • Vocational/technical training in secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.
