Hiring a Full-Time Admin Assistant for 40 hours a week in the office, predominantly during the workday.

JOB DESCRIPTION:

  • Create and update systems and processes– Incoming leads, buyers, sellers and lease transactions
  • Enter contacts in CRM database, make calls to collect missing information and complete action plans assigned in CRM
  • Update website (listings, testimonials, articles, videos)
  • Monitor emails and respond accordingly
  • Answer phones and assign tasks
  • Search MLS for homes, schedule appointments, and prepare showing packets
  • Enter search profiles in MLS
  • Input listings in MLS and set-up showing service
  • Create flyers for listings, open houses, mailers, etc.
  • Edit monthly newsletters & e-mails to database
  • Submit compliance documents in internal system
  • Confirm appointments with clients
  • Solicit and enter feedback from showings
  • Post on social media and company intranet: Facebook, LinkedIn, Twitter, Instagram etc.
  • Prepare files for closing
  • Update reports (P&L & tracking)
  • Fill-in blanks on contracts and listing documents
  • Prepare listing folders and buyer booklets for agent
  • Create presentations for seminars
  • Help prepare for open houses and client events
  • Keep files organized electronically and physically
  • Place and take down signs & lock-boxes for listings and open houses

Basic Requirements: College degree, comfortable with technology & interest in real estate a plus

Key Skills Needed: Excellent communication skills, organizational skills, MS Office including Word, Excel & Power Point, graphics & technical skills to assist with website & social media (Canva, Publisher, video are a plus), experience developing systems and processes

Salary: $12.00 to $15.00 /hour
