DUTIES:

The Marshall Student Center provides facilities and event services for the USF students, departments, faculty, and visitors. The MSC is the hub for campus life and programs and houses offices including Student Government, Leadership and Civic Engagement, Center for Student Involvement, and Fraternity and Sorority Life. The Marshall Student Center is a part of Student Success at USF.

Position Summary:

The Events & Operations Specialist position will be responsible for coordinating and implementing tasks for both event logistics and facility operations. They will work directly with an Event Manager and an Operations Coordinator on a variety of projects. This individual will be responsible for providing an excellent experience for all MSC clients and partners. Some night, weekend, and holiday work is required.

Responsibilities:

Events

  • Provide excellent customer service to all MSC clients.
  • Help to execute the day of event operations plan created by the Event Manager when necessary.
  • Solve minor event related logistical issues that may occur with solutions that reflect University and MSC policies and procedures.
  • Attend the weekly MSC Production Meeting, and sit in on event planning meetings when needed.
  • Have a working knowledge of conflict management, ingress and egress procedures, line/crowd management, some audio visual, and room set-up experience.
  • Develop positive working relationships with other employees in the Event & Meeting Services office.
  • Serve as a liaison to catering, facilities, security, and IT for all MSC events.

Programming

  • Contribute to the planning student employee retreats, student employee appreciation, and recognition week activities.
  • Participate in the planning of Marshall Study Center, Get Your Paint On, and other MSC signature events

Operations

  • Assist with project management in spaces throughout the Marshall Student Center.
  • Coordinate swipe access.
  • Collaborate with maintenance and custodial services.
  • Facilitate vendor and contractor communications.
  • Coordinate large-scale disposals and electronics removals.
  • Handle minor night and weekend maintenance issues.
  • Work with the Event Manager and Operations Coordinator on building opening and closing procedures; public protest and demonstration; emergency management procedures; and the reporting problems and issues in the building to the appropriate entities.

Other

  • Must be able to walk and stand for extended periods of time.
  • Must be able to lift at least 50 lbs.
  • Must be able to communicate verbally and in writing.
  • Must be able to follow written and verbal instruction.
  • Must be able to stoop, squat, and reach frequently.
  • Must be able to work consistent night and weekend hours. Must also work holidays as required.

QUALIFICATIONS (Education & Experience):

Minimum Qualifications:

This position requires a high school diploma or equivalent, with at least four years of experience in an office or administrative support position. Additional education may not be substituted for this experience requirement. Experience working in event management and operations.

Preferred Qualifications:

Bachelor’s degree.

Three years of experience in a higher education setting or in hospitality.
