As an Administrative Specialist, you arrive each morning ready to get your day started! You collect and keep track of rent deposits, late fees, and move-out reconciliations. You definitely have your share of paperwork to complete, but you enjoy the frequent interruptions and chances to interact with different people.

Are you detail oriented? Are you great with numbers? Do you like the challenge of digging in and finding answers to accounting and admin related questions? This position has a heavy focus on AppFolio administration along with other tasks and activities.

Position Overview:

The Property Management Administration Specialist is responsible for the accounting related functions for Properties, Owners, Tenants, Vendors and the Company and acts as the “go to person” for all accounting related activities. Also responsible for system set up and training. Collaborates with internal team members and with third-party companies used for accounting, reconciliation functions and operations systems. Additional responsibilities include professional customer service, answering phones and emails and assist with AppFolio training.

Responsibilities:

  • Assist with incoming calls, email and follow-up on accounting related matters
  • Receive, log and post incoming funds from tenants, owners and vendors
  • Complete bank deposits
  • Review, enter and initiate payables
  • Review and complete final move out accounting for security deposit dispositions
  • Complete annual owner and vendor audit and prepare tax documents (AppFolio 1099’s, 1042’s, cash flow statements, etc.)
  • Assist with creating budgets and projections
  • Acts as the subject matter expert for all company systems
  • Other duties as assigned by owner

Requirements

  • 1-2 years related experience in bookkeeping and office administration
  • Property management experience is a plus
