Creates Work Product
- Types and produces professional, business correspondence including letters, emails, and memorandums. Proofs and copy checks such documents for spelling, grammar, and layout, making appropriate changes as determined. Makes recurring updates to databases, reports, and spreadsheets. Researches various topics and provide clear, concise summary from credible sources.
Planning and Management
- Coordinates and maintains operational information through Microsoft Office 365 products including notably Outlook and OneNote. Utilizes these tools in preparing for meetings and distributing related materials.
- Assists in researching and coordinating air travel, lodging, car rental, and other related travel arrangements for internal and external individuals.
Project and Task Based Assignments
- Works independently to support team members with ongoing and special nonrecurring projects.
- Helps create and produce visual presentations and bind hard copy presentation materials using a binding machine.
Maintains and Supports High Level Communications
- Serves as a liaison with other departments and clients including high-level staff. Handle confidential and non-routine information appropriately.
- Exercises discretion and independent judgement with respect to matters of significance.
- Maintains confidentiality of all matters, including, but not limited to, conversations, correspondence, company marketing, reports, and meetings
Corporate Suite & Special Event Support
- Manages distribution of tickets and related credentials for all sporting and special events as well as related exchanges and sales.
- Plans for and coordinates appropriate setup including individual food and beverage orders for various events.
- Researches and gathers venue information for business events. Organizes and manages invitee lists for corporate related events as well as prepares or assists with related items such as nametags, materials, notebooks, packages, gift bags, registration lists, and seating cards.
- Performs other duties as assigned. Qualifications
- 3+ years of experience in an administrative assistant role
- Microsoft Office 365, OneNote, Sharepoint proficiency preferred.
- Intermediate to high level of proficiency required in: Outlook, Excel, Word, Power Point, and related software.
- Intermediate knowledge of Adobe creative suite. InDesign proficiency a plus.
- Must be able to read, understand, and proof legal documents such as contracts and agreements.
- Analytical ability is required to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
- Work requires continuous attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
- Strong organizational skills and the ability to multi-task and juggle priorities in a fast-paced setting.
- Professional business demeanor and ability to handle confidential and time sensitive information appropriately. Position continually requires demonstrated poise, tact and diplomacy.
- Bilingual (Spanish) a plus, but not required.
- High school diploma or GED required. Some college coursework or degree a plus.
- Ability to touch-type accurately at 50 wpm or higher preferred. Over 45 wpm required.
- Data entry skills are required.
- Prior experience or coursework in the Real Estate industry is a plus but not required.
