Qualifications
- University degree preferred
- 2+ years of administrative experience in a professional services environment strongly preferred
- Specific experience in catering or security a plus
- Confident, poised, professional demeanor both in person and on the phone
- Extremely strong customer-service orientation; desire to consistently deliver great service
- Ability to lift heavy packages/items/furniture (minimum 35 lbs.)
- Flexibility to work overtime as needed and with minimal notice
- Teamwork mindset; desire to collaborate with colleagues and stay in constant communication
- Outstanding administrative and organizational skills with ability to multitask
- Willingness to take initiative and use problem solving techniques
- Ability to effectively manage shifting deadlines and priorities

Who You’ll Work With
You’ll work in our Tampa Service Center (TSC) located in St. Petersburg, FL.
The TSC opened in May 2010 to provide Executive Assistant and HR support to North America. The TSC has expanded to become a hub for North American Finance and is home to 750+ colleagues supporting administration, recruiting, analytics, design, learning, benefits and many other roles.
What You’ll Do
You will be a key member of our Site Services team and will be responsible for ensuring professional, high-quality, customer-focused support to colleagues and visitors of the TSC at all times.
In this role you will handle an array of activities that contribute to the functionality and upkeep of the office. These include greeting and assisting guests, ordering supplies, cleaning and stocking kitchens, maintaining overall site cleanliness and assisting with facility issues. You will also assist with printing services, and overseeing shipping and delivery of mail and packages.
Another major responsibility of yours will be end-to-end site maintenance. This includes new hire desk assignments, quality checks on facilities (e.g. kitchen, conference rooms, restrooms, etc.), managing storage areas and tracking supplies, and ensuring site bulletin boards maintain a professional appearance.
You will serve as a facilitator for all visitors, preparing welcome kits (name tags, key cards, etc.) and booking conference rooms. You will be an active participant on the office emergency response team including assisting with evacuation procedures. You will coordinate with building management and outside contractors for maintenance and repairs, assisting with efforts to communicate security and confidentiality requirements within office.
You will oversee mailroom functions. This includes processing/sorting mail, preparing packages for shipment and operating mailroom equipment. You will monitor and maintain the copy room (e.g. ordering supplies (i.e., toner, paper, pens) and maintaining the inventory.
