Law Firm Administrator – Tampa, FL

Thomas & LoCicero PL, a boutique law firm with offices in Tampa and Ft. Lauderdale, Florida that focuses on litigation, media law, and intellectual property has an opening for a full-time administrator.

Primary Responsibilities:

· Perform accounting and payroll tasks, including accounts receivable and accounts payable, daily cash reports, bank reconciliations, financial statements, management reports and budgets.

· Prepare/supervise monthly client invoices and submit client invoices.

· Responsible for setting up new clients/matters in ATO and TABS.

· Experience with E-billing.

· Management of all human resource issues for the legal staff including recruiting, interviewing, onboarding, and training. Additionally, candidate must have experience in daily supervision of staff, payroll, benefit management, performance reviews and evaluations, and employee separation.

· Handle any IT-related office issues or office equipment. Work closely with outside IT company.

· Responsible for all facilities/building issues, and other related tasks.

· Responsible for accounting of FAP Partners (who own the building).

· Update and review policies, procedures, and manuals pertaining to the legal staff and attorneys.

· Handle vendor contracts and procurement of any contract renewals for legal subscriptions, health insurance, professional liability insurance, etc.

· Communicate with clients regarding billing issues and outstanding AR.

· Responsible for maintaining website and assist with all marketing events.

Qualifications:

· 10 years or more experience with law office administration, payroll, and billing and accounting procedures.

· Highly detail oriented.

· Team player with positive attitude.

· Strong leadership, management, organizational, and IT skills.

· Exceptional written, verbal, and interpersonal communication skills.

· High level ability to prioritize and multi-task.

· Proficiency with Microsoft Word, Excel, Outlook, Aderant Total Office (ATO) f/k/a Client Profiles and Tabs3 preferred.

· Availability both before and after traditional working hours as needed.
