St Cyr Team Administrator

The St Cyr Team is looking for an individual to join its team that will be effective in tracking and managing day-to-day operations, organizing workflow, relieving team staff of administrative details, and will administer an efficient and cohesive working environment. The overall goal of this position is to be the backbone of team efficiency that will enable the team to more effectively reach its goals.

Job Responsibilities

  • Manage and execute all administrative aspects of the St Cyr team’s business including, but not limited to: calendar management, appointment scheduling, email management, writing and mailing personal notes, preparing client gifts, etc.
  • Maintain up-to-date records and systems for sellers and buyers, as well as, manage client database, lead generation tracking and lead follow-up.
  • Maintain all agent financial systems, profit & loss statement, bill payment, budget(s), bank accounts, and business credit card(s)
  • Coordinate the purchasing of any office equipment, marketing materials and any other business-related supplies and materials.
  • Assist Marketing in event and community engagement planning, including quarterly client appreciation events and executing monthly referral program tactics like “pop-bys”
  • Assist Marketing in St Cyr team marketing management, including social media support and marketing material updates
  • Assist with the production, review and implementation of all property marketing materials and mediums
  • Call all showing agents for feedback after they show a listed property and document their responses
  • Communicate with vendors to schedule meetings
  • Act as the team point of contact for vendors, agents and sometimes clients
