Description

Full time position available in the Tampa Corporate Office. The ideal candidate will have the ability to perform project administration, office operations, and HR and production support. They will be detail-oriented, organized, self-motivated, and able to work in a team environment. The candidate will have strong written and verbal interpersonal communication skills. They will be able to multi-task while possessing a can-do, positive attitude. The ideal candidate will possess strong problem-solving and analytical skills and be able to prioritize tasks and duties.

Essential Duties and Responsibilities:

Office Operations

  • Answer calls and greet individuals as they enter the office in a friendly manner
  • Create and maintain project files
  • Process daily mail and overnight shipments
  • Create and maintain company and conference room calendars
  • Document scanning, digital filing and copying
  • Order and inventory office supplies
  • Order food for corporate meetings
  • Assist with travel arrangements, conference and seminar registrations
  • Coordinate vehicle/truck maintenance and rental vehicles
  • HR Support as needed

Production Support

  • Project initiation, Support and Close Out to include but not be limited to the following:
  • Prepares and coordinates administrative components of task work orders for execution
  • Compiles background data for projects (straight line diagrams, Google Earth pins, old reports, etc.)
  • Prepares project file; compiles, formats, and/or proofreads project documents
  • Assists in preparation of comments and responses
  • Updates project status spreadsheets for submittals
  • Assists in compiling final submittals and scanning project files for archiving

Software Requirements: Proficient in Microsoft Applications, including Excel, Outlook, Word; proficient with pdf software and processes

Education RequirementsAA Degree desired

Work Experience: Minimum of 2 years administrative assistant experience

Salary$15.00 to $16.00 per hour depending on experience
