Straz Center for the Performing Arts

Position Summary: The Admissions Supervisor is primarily responsible for ensuring the smooth operation of the Patel Conservatory admission and registration process.  The Admissions Supervisor executes the course set-up process, ensures the maintenance of student records, provides Conservatory and Straz Center leadership with statistical reporting and oversees Admissions staff in providing an exceptional customer care experience. This position serves as the primary point of contact regarding course-building, gleaning statistical data and other content-based admissions processes.

Primary Duties and Responsibilities:

Team Management:

  • Staffing: Recruits, interviews, and selects Admissions staff.
  • Professional Development: Provides appropriate orientation and training while onboarding new Admissions staff. Ensures ongoing training, mentorship and career development for existing staff.
  • Assign Work: Assigns and monitors work performed by Admissions staff, Schedules Admissions staff, monitors attendance, and adjusts schedules as necessary.
  • Evaluating Performance: Clearly defines job duties and performance expectations. Observes Admissions staff performance and provides timely and constructive feedback and coaching as necessary.
  • Coaching and Counseling: Ensures Director of Education Finance & Admissions is kept apprised of employee performance matters. Addresses performance problems through training, coaching and counseling in accordance with company guidelines.
  • Conflict Resolution: Actively works to promote a collaborative, team-oriented environment and takes a proactive approach to avoiding and/or resolving conflicts.

Registration and Administration:

  • Oversees all class sales and student registrations, including working with the Director of Education Finance & Admissions to implement and enforce policies and procedures as necessary to ensure the smooth operation of the admissions process.
  • Supports the Director of Education Finance & Admissions with strategic analysis and planning for Admissions business systems improvements and proactively partners with Conservatory staff, IT and other departments to implement improvements.
  • Supports the Director of Education Finance & Admissions with the enforcement of Admissions policies and procedures as they relate to payment and risk management.
  • Maintains a neat and organized Library and Admissions office.
  • Ensures all classes are properly built into the registration database system and tests to confirm proper online and in-person functionality and accuracy.
  • Maintains Conservatory Admissions and operational procedures by developing Standard Operating Procedures (SOPs) for all processes and revising established policies and guidelines as necessary.
  • Cross-trains on Director of Education Finance & Admissions job duties to ensure business continuity.

Sales and Customer Care:

  • Functions as the second line of contact in helping Admissions staff respond to a wide variety of external and internal inquiries. Proactively works to resolve both internal and external customer-related issues. Refers difficult or unresolved inquiries to the appropriate department leadership and/or the Director of Education Finance & Admissions as appropriate.
  • Collaborates with Director of Education Finance & Admissions on continuous improvement activities by reviewing, changing, and improving processes in line with changing customer expectations/organizational goals.

Financial Interactions:

  • Oversees receipt of payments (check, cash and credit cards) and tracks all financial transactions into the student registration system.
  • Monitors accounts receivable and credits on account and supports Admissions staff in past due account collections.
  • Acts as the lead administrator for scholarships, overseeing the acceptance and tracking of applications, communicating with department leadership and notifying families of award decisions.

Reporting:

  • Provides statistical reporting data to the Straz Center regarding Conservatory students and classes.
  • Works with department leadership to generate student transcripts, as requested.

Supervisory Responsibilities:

This position supervises full-time Admissions Coordinators and Interns (as assigned).

Position Qualifications:

Minimum

  • Proficiency in Microsoft Office applications including Outlook, Word, and Excel. Intermediate Excel proficiency required.
  • Ability to perform basic to intermediate math equations correctly.
  • Availability to work a flexible schedule including nights and weekends as needed.
  • Bachelor’s Degree with a focus in arts, communications, business, or Human Resources.

Special Skills/Abilities

  • Three to five years’ experience in database management and customer service, preferably in a school administration setting.
  • Two to five years of supervisory experience.
  • Experience with and knowledge of ASAP, Tessitura or other CRM/database software preferred.
  • Spanish as a second language is helpful.
