Reports to: Director of Asset Management

Summary

Under the direction of the Director of Asset Management, the Asset Management Administrator will assist THA with maximizing cash flow while preserving assets, achieving budgeted NOI, assisting in ensuring 100% LIHTC compliance, ensuring a quality living environment for residents, and establishing a positive working environment for property team members.

The Asset Management Administrator duties vary depending on the programs governing the community and the number of staff to which responsibilities might be delegated. Perform record retention and retrieval activities and coordinate the transition and integration of File Vision in the work- flow for assigned properties.

Essential Job Functions

  • Manage departmental compliance with affordable housing programs by working with developers, syndicators, investors, lenders and 3rd party management entities.
  • Give guidance to property management team regarding HUD updates.
  • Ensure that THA housing portfolios are operating according to the management plan.
  • Provide exceptional customer service to current and future residents, including in person, by phone, and by email.
  • Communicate with current and future residents regarding leasing, maintenance, and property related questions. Including answering questions on available properties, scheduling property tours, submitting resident maintenance requests, and other property related questions.
  • Assist property management team with marketing, advertising, social media, and showing of properties to perspective residents.
  • Provide leasing team support including collecting applications, screenings, typing up leases, new resident move-ins, and completing lease audits.
  • Assist operation, acquisition, marketing, and finance teams with special projects as needed.
  • Complete an Annual inspection of the property and market-ready units.
  • Monitor and direct service operations to ensure service requests are completed within 24 hours and curb appeal standards are met.
  • Supervise departmental safety and risk management functions including coordinating monthly property safety meetings with properties.
  • Review and document resident retention programs, in efforts to continue to meet residents needs and improve retention.
  • Provide excellent customer service and display courteous and professional attitude toward all residents at all community functions.

Support the overall administrative function of the department

  • Provide reports with charts, graphs and pivot tables for presentations.
  • Review and reconcile purchase orders and expenditures related to dwelling unit readiness and all other property expenses.
  • Update and maintain property characteristic information in a shared database and provide as requested.
  • Update department’s internet and intranet department website with new and revised content as needed.
  • Attend and participate in various weekly, monthly and quarterly meetings that relate to the department’s operations and compliance, act according to decisions and outcomes of meetings.
  • Provide reports to Asset Management operations and perform other duties when requested or assigned by the Director of Asset Management.

Minimum Qualifications

  • Requires Associates Degree, and five (5) years of progressively responsible experience in budgeting, purchasing, Property Programs Compliance, or related field.
  • Requires knowledge of Microsoft Office Suite applications, Yardi, and Public Housing HUD based software (P.I.C).
  • Prefers Certified Housing Manager or ability to acquire within one (1) year of hire.
  • Prefers Housing Credit Professional with knowledge of Section 8, Bond, Home and other affordable housing funding program.
  • Prefers Low Income Housing Tax Credit Professional, HCCP or SHCM (within 24 months of hire).
  • Valid Florida Driver’s License.
  • Insurable under the agency’s insurance policy

Salary: $46,015.85
