Established law firm, in downtown St. Petersburg, is looking for an Assistant Administrator supporting the Administrator. The position requires flexibility and adaptability in multiple areas of responsibilities. It requires a detail-oriented person with sound judgment, strong reasoning skills, and good analytical and problem solving abilities. The Assistant Administrator will eventually be involved in all areas of the law firm’s operations to the extent that he or she is able to support the office’s needs in the absence of the Administrator.
Responsibilities:
50% Bookkeeping including:
- Processing accounts payable and client costs
- Processing deposits
- Preparing reports for management meetings
- Assisting with monthly billing
40% Administrative including:
- Assisting in establishing policies and procedures
- Ordering office and kitchen supplies
- Troubleshooting hardware and software issues
- Performing daily backups
- Maintaining case management software (ATO)
- Requesting maintenance from building staff
- Processing outgoing mail
- Maintaining office equipment
- Projects as assigned by administrator
- Tracking legal documents
- Maintaining databases
- Providing administrative support to attorneys, staff and administrator
10% Miscellaneous including:
- Office event planning
- “Extra Hands” – learning the many positions of the law firm becoming capable of stepping is for various staff members
Required Skills and Competencies:
- Solid understanding of bookkeeping processes and procedures
- Excellent time management and prioritization skills
- Professional level verbal and communications skills
- Proficiency in MS Office: Word 2016, Excel 2016, Outlook 2016; Adobe Acrobat Pro 2017
- Ability to provide basic computer support
- Ability to learn, teach and troubleshoot various software
- Excellent organizational skills
- Self-motivated to learn
- Ability to build and maintain effective working relationships with management, attorneys, staff members, clients and vendors
- Strong business ethics
- Confidentiality and discretion is a must
Salary
40,000 – 45,000 /year
