One of our communities is currently seeking a motivated and detail-oriented Assistant to the Property Manager to join our team.

The Assistant to the Property Manager will be present onsite to support the Community Association Manager in the day-to-day operations of managing a beautiful HOA community in Largo. This role involves administrative duties, compliance enforcement, and resident relations.

Administrative Duties

1. Greet all residents and visitors with a smile

2. Answer phones and respond promptly to all Outlook emails

3. Check and respond to messages on the community management database Vantaca

4. Generate (as needed) and post all meeting and community notices

5. Attend meetings and take meeting minutes as needed

6. Save all Board & Committee Meeting Minutes on Vantaca

7. Monitor and upload all documents as required by Florida Statutes

8. Order, store, and dispense office and guardhouse supplies

9. Assist with all mail-outs for the community

10. Upkeep front office appearance by staying organized and tidying as needed

Compliance Enforcement

1. Provide community documents when requested

2. Assist with ACC violations:

· Send out violation letters and follow up with residents accordingly

· Perform follow up inspections with the Property Manager routinely

· Close out violations as instructed

3. Review daily Security activity reports:

· Send out violation letters for any reports that correlate to compliance violations (mainly parking or traffic related).

4. Manage the issuance and tracking of the RFID vehicle tags in the association’s Visitor Management System

Resident Relations

1. Welcome new residents to the community:

· Provide them with a Welcome Packet

· Review the Rules & Regulations with them and have them sign an acknowledgement

· Scan and save all new resident paperwork to shared OneDrive

· Issue the RFID vehicle tags for their vehicle(s) and update the Visitor Management System

2. Work closely with various committees within the community to coordinate meetings and hearings

3. Assist residents with their questions and concerns in a positive and professional manner

Miscellaneous Duties

1. Handle special projects as assigned

2. Assist the property manager as needed

Job Type: Full-time

Pay: $18.00 per hour
