Job Summary
If you are super-organized and love working with people, then our assistant community manager position is perfect for you. Type A personalities are more than welcome to apply, as details are key in this position, provided you also have a gentle touch when it comes to collecting rent and a sparkling touch with community relations. As the second-in-command under the community manager, you’re in charge of keeping all resident files up-to-date, collecting rents, dealing with delinquencies, reviewing and approving Statements of Deposit Accounts, and preparing and delivering legal and formal documents. You’ll also assist with the turnover process with new leases and lease renewals with existing residents who will adore you if you’re the right person for the position. Play role in achieving community financial goals with assisting in the development, preparation and administration of the community’s capital and operating budgets.
Essential Duties and Responsibilities
- Create and maintain ongoing superior customer service relationships with potential and current residents.
- Adhere to company standard operating procedures.
- Maintain thorough product knowledge of the property and that of major competition.
- Oversee and direct efforts to maximize rental income and high occupancy through sales and marketing plans.
- Ensure timely collections of all rent receipts through the preparation and distribution of delinquency reports to the community manager.
- Create and review Statements of Deposit Accounts, ensuring all are timely and comply with state law.
- Maintain a calendar of scheduled move-ins, ensuring all move-in appointments are completed, all apartments inspected and compliant with established standards prior to move-in.
- Prepare all legal and formal notices in accordance with state law and company standards, including but not limited to late notices, change in term notices, and notices of violation of community rules and regulations.
- Initiate all necessary evictions by preparing appropriate paperwork for legal evictions or other legal proceedings; ensure all evictions and legal proceedings are followed through to completion.
- Maintain all account records and transactions including NSF’s, rent allowances, concessions, rent increases and other management-approved debits and credits.
- May be required to assist in special projects or activities including due diligence, property acquisition/disposition, serving on or participating in company sponsored or sanctioned committees, organizations, functions, etc.
- Assisting the Community Manager in interviewing, screening and hiring of any potential employee for all departments.
- Assisting the Community Manager in any disciplinary or promotional recommendations with regard to all office personnel.
- Assisting the Community Manager in subsequent orientation, training and scheduling of all office personnel.
- Assisting the Community Manager in designing and implementing resident functions as needed to promote resident retention and increase resident satisfaction.
- Responsible for insuring that all personnel in all departments operate with OSHA (Occupational Safety & Health Act) standards and company safety policies at all times.
- Attends and participates in the company’s training programs as required.
- Other tasks or duties as assigned by supervisor.

Physical Requirements
- Stand or walk or sit alternatively depending on the day’s needs. Estimate 70% of time is spent standing or walking and 30% sitting at a desk.
- Bending, stooping, and squatting for filing frequently needed.
- Ability to climb stairs frequently needed to inspect the property.
- Pushing and pulling doors/cabinets to inspect the property frequently needed.
- Reaching above the shoulders for inspecting the property frequently needed.
- Writing/typing for communication frequently needed.
- Grasping/turning for telephone and doorknob use frequently needed.
- Finger dexterity to operate office equipment frequently needed.
- Lifting/carrying 10-25 lbs. occasionally needed.
- Constant need for vision in small detail and beyond arm’s reach to view computer screens, reports, forms, inspecting property, etc.
- Constant need for hearing and speech to communicate with staff, vendors, residents, and prospects in person and on the telephone.
- Ability to effectively present information in one-on-one and small group situations to customers, residents/clients, and other employees of the organization.
- Ability to read and comprehend simple instructions, short correspondence, and memos.
Working Conditions
- Approximately 60% time spent working in an on-site office and approximately 40% time spent working outside in the field
Experience
- High school education or equivalent is required
- College degree is preferred but not required.
- National Apartment Leasing Professional (NALP) preferred.
- Microsoft Office Suite including Word, Excel, and Outlook.
- Yardi Voyager Experience a plus.
- Prior sales experience is a plus.
- Knowledge of Fair Housing Laws preferred.
- High rise, Class A, lease up experience preferred.
Travel/Attendance
- Ability to work any of the seven days of the week, 52 weeks of the year. Our community staffing limitations make it critical for you to work your scheduled hours consistently as well as overtime if necessary when requested.
