Our privately owned multifamily (apartment) management company is seeking an experienced, highly-organized and self-disciplined Assistant Community Manager. The Assistant Community Manager assists the Community Manager in the financial administration of the community and, in some cases, oversight of the marketing staff on a day-to-day basis.
Essential Duties and Responsibilities:
The Assistant Community Manager will be responsible for but not limited to the following:
- Assist the Community Manager with oversight of the leasing team and training.
- Support Leasing Consultants in the leasing of apartments and ensuring that Fair Housing guidelines are followed.
- Post rental collections, make bank deposits and oversee the administration of accounting functions for the community.
- Meet regularly with Community Manager and Regional Manager to discuss leasing issues and community performance.
- Conduct monthly market survey and recommend pricing changes.
- Maintain lease files and computer records for the community.
- Perform administrative duties as assigned by the Community Manager.
- Monitor community’s e-mail and give leads to leasing agents.
- Verify applications from leasing consultants.
- Follow up/make phone calls on delinquents.
- Ensures the integrity of the rent roll data.
- Move prospect into community on rent roll. Update renewal lease information once lease is received from leasing consultant.
- Update make-ready status and maintain status report.
- Maintain the renewal workbook as activity occurs.
- Maintain the community’s lease expiration board and fill in properly as move-ins and move-outs occur.
- Ensure work orders are entered into Rent Roll correctly.
- Complete the reports and send to Home Office.
- Make sure charge adjustments are completed and rent is posted correctly. Make sure all rents are posted on a timely basis.
- Review delinquency report from the sub meter company. Ensure that rent is not accepted for sub meter delinquency over 30 days. Charge sub meter allocation correctly.
- Research and send out prepaid letters at the end of the month.
- Process notices to vacate.
Delinquency/Evictions
- Fill out all delinquency letters and send to residents.
- Provide a list of delinquents to the Community Manager.
- Complete all eviction and collection paperwork and file with appropriate agencies.
- Review delinquency reports.
- Willing to go to court proceedings if necessary to represent community in eviction proceedings.
- File skips/evictions with Pierce Hamilton and Stern (PH&S).
Dispositions/AME
- Obtain unit damage information from Community Manager and complete security deposit dispositions.
- Complete Accounting Month End (AME) procedures and occupancy month end procedures on rent roll.
- Complete the auto-bill task in computer (make sure everyone is charged correctly) at time of move in.
- File delinquent accounts with PH&S.
Other Duties:
- Monitor water and power bills on a monthly basis.
- Send water sub metering letters.
- Complete the lease expirations and renewal data for CAAP report.
- Check/Maintain notebook to ensure procedures are being followed.
- Maintain knowledge of local eviction laws and procedures.

Education and/or Experience :
High school diploma or GED and 1 plus year work related experience or training; or equivalent
combination of education and experience.
Language Skills :
Ability to read and interpret documents such as safety policies, operating and maintenance
instructions, and procedure manuals. Must be able to generate reports and write correspondence.
Furthermore, must possess the ability to speak effectively to customers and employees.
Mathematical Skills:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions,
percentages.
Reasoning Ability :
Ability to apply common sense to carry out instructions furnished in written, oral or diagram form. Ability to handle problems and know when to escalate an issue.
