Hillsborough Transit Authority (HART) is in need of an Assistant Project Manager Intern (APMI) to join the team at our downtown Ybor City location. The successful candidate will be responsible for providing administrative and tactical support for our five Project Managers at that location. The HART Project Management Office (PMO) works on regional bus transit, infrastructure and process improvement projects for Hillsborough County. Therefore, HART is looking for an ambitious project management minded individual who wants to work directly on projects that will improve people’s lives and make a difference. This individual will work side by side with a certified PMP project manager on real projects and gain valuable experience and build project hours toward their certification. The APMI will take on meaningful work, get executive exposure and engage in out-of-the-box problem solving. He/she will work through the various stages of one or several projects from initiation to closure to ensure the project(s) is completed on time and on or under budget. We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multi-task, while maintaining complex schedules and managing project documents, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.

ESSENTIAL JOB FUNCTIONS

Project Management functions:

  • Communicates and follows up with stakeholders about specific projects and their goals.
  • Performs technical review of deliverables, stakeholder requirements, and management of project lifecycle to include scope, schedule, milestones and costs.
  • Coordinates meetings, meeting minutes, site visits etc. for assigned projects.
  • Sets and continually manages project expectations with all team members and stakeholders.
  • Develops and delivers progress reports, Statements of Work (SOW), requirements documentation and presentations.
  • Assists with proactively managing changes in project Scope, identifying potential risks and devising contingency plans.
  • Visits project sites to evaluate progress and to respond to customers’ concerns or questions, and update Request for Information (RFI) tracker.
  • For construction projects, coordinates with vendors to ensure their construction teams have the required safety training, answers to RFIs and submittals they need.
  • Communicates with PM daily about any potential delays along with any other issues that must be communicated to stakeholders.
  • Organizes, files, and maintains assigned project documents (physically and digitally).
  • Scans and archives digital blueprints, files, and schematics for future access.
  • Assists with lessons learned and recording of all project specific requirements.

PMO Support functions:

  • Participates in PMO process development effort.
  • Assists PMO with additional duties as assigned.

MARGINAL FUNCTIONS:

  • Performs other work-related duties as assigned.

ADDITIONAL INFORMATION:

  • Maximum of 20 work hours per week
  • Time period: 10 weeks per semester
REQUIREMENTS AND QUALIFICATIONS

Education and Experience:

  • Previous project management experience preferred, or a student in the Project Management course of study degree program.
  • Proficiency in Microsoft Word, and Excel are essential, with some working knowledge/ experience with MS Outlook, Project, and SharePoint is desirable.

Machines, Tools, & Equipment Used:

  • Ability to operate small office equipment, including copy machines or multi-line telephone systems, as well as a computer for both data entry, word processing, and/or accounting purposes.

Licenses/Certifications:

  • Must have a valid State of Residence driver’s License.

QUALIFICATIONS:

Skills and Ability:

  • Ability to read, write, speak, and understand English; bi-lingual (English / Spanish) abilities a plus
  • Ability or the willingness to learn how to read, analyze and revise blueprints and sketch hand draft drawings for construction projects. Be detail oriented and comfortable working in a fast-paced office environment.
  • Possess exceptional communication and collaboration skills.
  • Have superior organizational skills and dedication to completing projects in a timely manner.
  • Ability to multi-task (i.e. can stay focused and productive while working on multiple major projects and numerous minor projects along with a potential constant flow of interruptions).
  • Ability to interpret instructions and determine the proper approach required for doing work in accordance with the supervisor’s guidelines.
  • Ability to work in a dynamic environment that requires the incumbent to be sensitive to change and responsive to changing goals, priorities, and needs.
  • Ability to use computers for data entry, word processing, and accounting purposes. Excellent Word and Excel skills are a MUST.
  • Ability to read and interpret documents and instruments.
  • Ability to perform calculations with accuracy.
  • Ability to interact positively with a wide variety of personalities internally and externally.
  • Ability to maintain strict confidentiality.
  • Ability to meet attendance and punctuality requirements.
  • Ability to follow established safety and security procedures.

Knowledge of:

  • Standard office practices, procedures and equipment.
  • Computer system and software utilized by the Authority.

Physical Demands/Work Environment:

  • Work is generally performed in a standard, business casual, office environment but can be outdoors, along any route in the Hillsborough Transit Authority area of operations or property.
  • Ability to hear, see, speak, and perceive color, depth and texture.
  • Subject to standing, walking, bending, reaching, stooping, and lifting of objects up to 25 pounds.
  • May be exposed to potentially intimidating and/or unreceptive members of the public; may occasionally be exposed to dangerous machinery, extreme weather conditions, and extreme noise.
