Position Details

The Design and Construction Department at The University of Tampa has a position available for an Assistant Project Manager.  Under the leadership of the Director of Design and Construction, this position manages small capital projects and supports the Design and Construction Department with administrative and accounting needs.  

Duties and Responsibilities
•    Manage small construction projects on campus. This includes keeping faculty and staff updated on progress, coordinating utility outages, and responding to design and construction requests for information.
•    Tracks contracts and purchase orders.
•    Request Insurance Certificates from subcontractor’s to review for compliance with the Company’s insurance requirements.
•    Processes all direct purchase orders and tracks all tax savings on projects. 
•    Facilitator of all project documentation and project close out packages. 
•    Attends OAC meeting and monitors required action items. 
•    Responsible for overseeing FFE (furniture, fixtures, equipment) and signage. 
•    Supervises day-to-day work activities by delegating authority, assigning, and prioritizing activities and monitoring operating standards. 
•    Act as a liaison with subcontractors to resolve any disputes, questions, or issues related to subcontractor’s work and progress.
•    Perform accounting and financial functions for multiple units.
•    Participates in regular safety meetings, safety training and hazard assessments.
•    Department liaison with financial department to maintain capital project data in WorkDay.
•    Prepare issues and enters receipts, bills, policies, invoices, pay apps, statements, and check request to ensure timely payments.
•    In addition to the assistant project manager tasks above this position also handles the department clerical items such as photocopying, compiling records, filing, tabulating, posting information and scheduling appointments.

Knowledge, Skills and Abilities
•    Strong organization, interpersonal, written and verbal skills.
•    The position requires the incumbent to have knowledge of a variety of computer software, specifically, Microsoft Word, Microsoft Excel, Microsoft Power Point, and Adobe Acrobat.
•    Ability to multi-task and prioritize in a fast-paced environment, with flexibility to juggle numerous projects simultaneously in a rapidly changing environment.
•    Maintain confidentiality as required in all areas of the position.
•    Strong command of the English language in documentation with excellent communication skills.
•    Must have strong problem solving skills to manage complex tasks.

Minimum requirements
•    Technical degree/diploma/certificate or equivalent in related field; or equivalent combination of education and experience.
•    Able to multitask and work independently. 
•    Attention to detail and experience with accounting/procurement/compliance.
•    Knowledge of or the ability to learn quickly The University of Tampa software programs such as Workday and Microsoft Office.
•    Willingness to embrace new technologies and innovative organizational practices.
Highly Preferred
•    Bachelor’s Degree.
•    Project management experience.
•    Workday experience.

Work Schedule
Monday-Friday, 8:30 a.m. to 5:00 p.m.
Summer: Monday-Thursday, 8:00 a.m. to 5:30 p.m.
Evenings and weekends as required.
