The ASSISTANT PROJECT MANAGER is responsible for providing support to the project management team and the Director of Construction Services. The ASSISTANT PROJECT MANAGER is also responsible for creating scopes of work and overseeing cap-x projects through to completion. The responsibilities of this position require an assertive, highly organized individual with knowledge of construction and renovation methods and processes within the multi-family industry. The ASSISTANT PROJECT MANAGER reports directly to the Director of Construction Services.
Job Duties
Setup and maintain project folders manually and electronically as directed.
Receive and file project progress information (pictures, correspondence and all pertinent documentation necessary for project files).
Track and organize consultant and GC RFI’s, Change Orders and Change Directives.
Use Project Management Software (Plan Grid) and electronic invoice (Yardi) management systems.
Assist Project Manager’s with project file audits and reconciliations at completion of projects.
Order materials for projects and develop new material sources.
Setup and facilitate meetings as directed.
Monitor and approve applicable pay applications for completeness and payment.
Obtain, organize and store required documentation for approval of invoices.
Communicate with vendors regarding approval status and documentation necessary for approval.
Oversee maintenance operations of the corporate office and parking facility.
Act as the Owner’s agent in managing the day to day operations of the corporate office and assist the Director of Construction Services with capital improvements and or tasks involving New Development.
Prepare scopes of work for review by the PM, CSD or Owners.
Manage construction bidding process and provide recommendations to the PM, CSD or Owner.
Schedule general contractors and their subcontractors.
Liaise between operations management and Contractors.
Perform quality control inspections of renovated and or newly delivered units with the general contractors and oversee completion of punch lists.

Obtain, organize and store required documentation for approval of invoices.
Communicate with vendors regarding approval status and documentation necessary for approval.
Supply invoicing information to active vendors as needed during projects.
Maintain database of vendor contact information.
Process permit applications and notices of commencement.
Qualifications
Five (5) years’ experience as service manager and/or site superintendent
High school diploma or equivalent required
Training in contract administration is preferred
Hold current EPA Type II Certification – Preferred
Experience managing construction staff
Prior involvement in capital replacement construction projects desirable (roofing, siding, landscaping, remodels)
Bi-Lingual (English/Spanish) a plus, but not required.
Word processing software, spreadsheets, plan grid softwar
Additional Requirements
Occasional need (1% to 33% of the time) to utilize personal transportation to industry events and/or meetings with vendor representatives.
Must have valid driver’s license and automobile insurance.
Position requires high level of organization with collecting and handling of documentation, scheduling of resources, gathering of data for reports.
Must be able to work in a fast-paced and customer service-oriented environment.
Must be computer literate
Performs duties under pressure and meets deadlines in a timely manner.
Works as part of a team, as well as completes assignments independently.
