ASSISTANT PROPERTY MANAGER
A leading Commercial Real Estate company is seeking an Assistant Property Manager (APM) in Tampa, Florida to assist the Property Manager (PM) with the day-to-day operations of a ten-property portfolio of office and light industrial (flex/warehouse) product comprised of over 540,000 square feet. The properties are located in St. Petersburg and Oldsmar, Florida.
The APM will assist the PM in the oversight and coordination of all property management, tenant relations, accounts receivable, accounts payable processing, maintenance, and construction activities for the portfolio. He/she will also work with 1 Building Engineer and function as a team.
ESSENTIAL FUNCTIONS:
- Drafting memorandums, emails and/or making phone calls to tenants related to maintenance scheduling and lease term issues.
- Writing work orders for overall maintenance tasks and tenant requests.
- Assist the PM with the “move-in” and “move-out” process, including advanced notices/communications, inspections and processing of documentation.
- Maintain logs and reports necessary for the overall operation of the property or required report to the corporate team.
- Responsible for creating and maintaining property, vendor, project and tenant files (both hard and electronic copies).
- Assist the PM with the development of the Operating and Capital budgets.
- Obtain proposals from vendors and contractors for repairs and maintenance and routine service agreement work.
- Represent the Company in a professional manner in all dealings with tenants, visitors, vendors, customers and brokers.
- Assist the PM in the monitoring and communication with tenants regarding accounts receivable.
- Support the PM with the review, processing and coding of accounts payable.
- Any other reasonable work related responsibilities assigned by the PM and corporate office.
REQUIREMENTS & SKILLS
- Organized and ability to plan
- Excellent customer service experience
- Basic knowledge of building structures & systems
- Experience with administrative duties
- Basic knowledge of accounting and business administration preferred
- Associates or Bachelor Degree and/or a combination of 3+ years of commercial property management experience
- Ability to interpret lease documents, as well as possess analytical skills.
- Excellent oral and written communication skills
- Comfortable navigating the internet and general use of computer
- Proficient with Microsoft Word, Excel and Outlook
- Experience with Yardi and/or other real estate property management accounting software is preferred
- Valid driver’s license and reliable vehicle to travel between properties
- Smart cell/mobile phone
- On-call for emergencies including after-hours
