Job Description

Experience and Education

¨ Reports directly to the Property Manager or General Manager

¨ Minimum two years’ experience, in office building commercial property management

¨ Experience in customer service

¨ Excellent written communication and verbal skills

¨ Proficient in Microsoft Word and Excel

¨ Ability to handle multiple tasks at one time

¨ Strong organizational skills

¨ Understands basic accounting principles and willing to input information into accounting software

¨ Working knowledge of lease administration

¨ Experience with Building Engines preferred

¨ MRI experience preferred

¨ Ability to track Accounts Receivable and contact tenants for collection as needed

Job Summary:

Provide administrative and management support necessary to assist the Property Manager or General Manager in the day to day management of the property. Provide frontline point of contact for tenants and service providers requiring assistance. Answer all phone calls in a prompt and courteous manner. Monitors Accounts Receivables, deposits, access card system, vendor contracts and tenant bill backs.

Job Responsibilities:

¨ Answer the property management office phones in a courteous, professional, customer service oriented manner

¨ Generate work orders to maintenance personnel if not automatically generated through Building Engines; notify vendors of normal day to day issues or inform Property Manager if more serious in nature

¨ Ensure through the Work Order System (Building Engines) that work orders are being closed out in a timely fashion

¨ Code Invoices electronically and ensure tenant bill back is accurate for approval by Property Manager

¨ Communicate to the Property Manager or General Manager and Chief Engineer building issues that are reported through Building Engines and over the telephone

¨ Keep vendor contact information up to date

¨ File invoices, leases, and vendor contracts in the permanent electronic files.

¨ Keep tenant lists/emergency contact lists up to date

¨ Assist Property Manager or General Manager with plans/schedule for tenant relations activities

¨ Order office supplies and kitchen supplies for building management office and conference rooms. Also schedule, prepare and stock conference rooms

¨ Open all mail, and other overnight delivered packages, date and sort/distribute accordingly Responsible for sending packages/envelopes through overnight service providers.

¨ Prepare tenant bill backs

¨ Coordinate utility and water meter readings and billings for property

¨ Code invoices requiring multi property splits

¨ Manage card access system including changes in building access for holidays, order key blanks, etc.

¨ Process monthly petty cash reconciliations

¨ Other management duties as assigned
