The Assistant Manager is responsible for assisting the Community Manager in achieving the community’s pre-determined goals and objectives. The Assistant Manager follows company policies and ensures compliance with all applicable regulations in the proper maintenance, execution and distribution of records pertaining to occupancy, income, and expenses.
Essential Functions:
Leasing
- Answer telephone while maintaining courteous and helpful attitude to residents and prospects
- Generate traffic to maintain occupancy goals in most cost effective way
- Enter traffic into Yardi daily and follow up on previous day’s traffic
- Complete tours and move-ins
- Verify and process applications with accuracy and timeliness
- Follow up with new move-ins and encourage completion of Satis-Facts surveys
- Verify that information on move-in and renewal leases is consistent with information in Yardi
- Inspect apartment homes prior to move-in
Resident Relations
- Assist with resident interaction, including complaints, while maintaining a positive attitude
- Promote resident referrals through resident interaction
- Prepare Resident legal notices (3 day notices, 7 day notice to cure, etc.)
- Prepare lease renewal and rental increase notices to be reviewed by the Community Manager
- Record notices to vacate; interview resident to determine reason for vacating
- Enter work orders in Yardi and conduct follow-up calls
Financials
- Assist with market surveys
- Post all payments received from prospect and residents into Yardi
- Ensure late fees and concessions are charged correctly
- Assist with month end for the community
- Perform all functions relating to collections, Non-Sufficient Funds (NSF’s), warrant process and evictions
- Follow-up on delinquencies
- Make bank deposits daily or when receipts are on hand, scan daily
- Turn over bad debts for collection
- Resolve all accounting discrepancies as soon as possible
- In the absence of the Community Manager, may supervise moveout process, maintenance and other team functions
- Other duties as may be periodically assigned by the manager
- Associate’s Degree or equivalent experience
- 2 years of experience in apartment industry in an Assistant or Leasing position
- Basic knowledge of Fair Housing laws is preferred
- National Apartment Leasing Professional (NALP) preferred but not required
- Must have working knowledge of Microsoft Office Suit (Word, Excel, PowerPoint, Outlook)
- Must be a sales minded individual with attention to detail
