Overview
The Tampa office is currently seeking an experienced Assistant Property Manager for an office / industrial portfolio in the Tampa Bay area. This candidate will report to the Senior Property Manager or General Property Manager and support all functions of the property management team including, but not limited to, administrative and operational services, accounting and financial activities, maintaining tenant relationships, and managing vendors and services.
Responsibilities
- Prepare and send vendor service agreements / contracts, route, and track signatures.
- Assist in selection of vendors and solicitation of bids and proposals.
- Review, maintain, and track certificates of insurance for tenants and vendors.
- Review, maintain accurate and pertinent property information for tenants and vendors.
- Maintain tenant, property and vendor files, records, and correspondence.
- Assist with accounts payable including, but not limited to, monthly accruals, processing invoices and ensure proper coding and descriptions are used for GL details.
- Assist with accounts receivable including, but not limited to, monthly billings, aging, rent collection, and preparation of all related documentation.
- Prepare and process monthly tenant billbacks, including utility, after hours HVAC, and similar charges.
- Responsible for the cleaning contractor and performing routine janitorial inspections and ordering supplies. Serves as a coordinator with tenants on cleaning issues, and monitors cleaning contractors’ performance to ensure compliance and standards established in the service agreement are being met.
- Respond to tenant requests and needs.
- Monitor and coordinate maintenance requests with vendors and tenants and resolve any issues.
- Administer and prepare new tenant welcome package with introduction letter regarding moving policies, insurance requirements, emergency contacts, access cards, maintenance requests, after hours HVAC procedures, and building amenities, rules, and regulations.
- Administer and prepare emergency handbooks with response plans and procedures, along with all pertinent property documentation and information.
- Prepare memos, emails, and other administrative forms, copying, and arrange for courier service and overnight deliveries.
- Open and distribute incoming mail.
- Schedule and coordinate meetings and tenant events.
Qualifications
- 1-3 years of experience in management of commercial properties.
- Proficiency with Microsoft Excel and Word.
- Experience with Yardi and/or Avid software preferred.
- Some accounting knowledge and skills.
- Good organizational skills.
- Attention to detail and accuracy.
- Strong verbal and written communication skills.
- College degree preferred but will consider candidates with Industry experience.
