Upscale Aventura Condo association is seeking an experienced Assistant Property Manager.

This position assists in the management of property in accordance with company policies, procedures and standards. This individual will develop knowledge and skill in the areas of lease administration, income/expense management and administration, physical facilities management and owner relations.

We are seeking the best of the best for a large complex that needs some TLC. Ideal candidate will have an outgoing/respectful demeanor, stable work history & can provide guidance/support to BOD, Property manager & community.

POSITION RESPONSIBILITIES:

Financial:

  • Opens and distributes mail, prepares accounts payable invoices with work orders and receiving tickets. Stamps and code invoices for General Manager to review.
  • Uploads all coded and approved invoices into accounts payable system.
  • Coordinates receipt of closing statement or warranty deed to put in the file and send to corporate A/R to change name and address for maintenance coupons.

Sales/Leases:

  • Keeps track of insurance certificate requests. Maintains insurance records books for both vendors and unit
  • Prepares move-in packages for re-sale and leases. Creates files, compiles sand coordinates all necessary information and documentation for new owners/leases.

  • Maintains, updates and coordinates resident information in computer database at a minimum on a monthly

Intra Department Support:

  • Generates and provides reports containing Owner/Resident information to the Property Manager, Board of Directors and Concierge desks and Security Supervisor.
  • Maintains inventory of common areas keys, transmitters and key fobs for residents and re-order as needed following established procedures.
  • Maintains receipt log for on-site revenue i.e. overnight parking, parking bar codes, key fobs and keys as

Management Support:

  • Schedules meetings for Board Approval process.
  • Initiates preparation of Management Reports, committee reports, meeting notices as applicable and submit for Manager’s review and
  • Coordinates collection and preparation of operating reports, such as time-and-attendance records, terminations and new
  • Prepares any resident information packages that require Board approval, (i., e., Architectural Modification).

General Administrative Duties:

  • Supports, oversees & keeps on task the front desk & reception of office
  • Ensures that the telephone is answered properly and messages are handled courteously, accurately and in a timely manner.
  • Maintains roster of mail room
  • Follows safety procedures and maintains a safe work
  • Other duties assigned
