Full Job Description

The Assistant Property Manager is charged with supporting management’s efforts in the day-to-day implementation of policies, procedures and programs that will assure a well-managed, well maintained property portfolio, placing maximum emphasis on positive responses to the concerns and needs of the tenants, environmental health and safety, and quality programs in coordination and conjunction with the Owner’s goals and objectives. In absence of Executive and Senior Management staff the Assistant Property Manager must provide “in charge” responsibilities for the property.

Property Oversight

· Supervise on-site staff and outside vendors.

· Handle all emergencies that occur at properties. Be on-call 24/7.

· Ensure that property and lease files are properly maintained and kept up to date in accordance with company policy.

· Prepare and maintain appropriate tenant lease files, records, correspondence and file notes for all tenant leases and lease requirements.

· Sort, code and ensure accuracy and compliance with contracts of all property related invoices.

· Manage lease abstract process

· Prepares property status reports, building inspection reports, tracking reports, correspondence and files.

Tenant Relations

· Assist with administering tenant occupancy including providing the new tenant with an introduction letter regarding emergency contacts, insurance requirements, rent collection procedures, and maintenance request procedures.

· Handle all incoming calls for service or maintenance. All complaints to be resolved within twenty-four (24) hours.

· Dispatch appropriate personnel or vendor to answer maintenance or service request and notify tenant of response time.

· Follow up after work is performed for tenant to ensure quality and tenant satisfaction.

· Send out monthly rent statements.

· Follow up with tenants regarding any outstanding rent balances.

· Read meters and calculate utility bill-backs to tenants. Ensure that above standard tenant bill-backs for electrical usage, after hours HVAC, and other similar charges are processed in a timely manner.

· Ensure Certificates of Insurance for tenants and vendors are up to date.

General Office

· Prepare, memos, emails, maintain files, prepare expense reports and other administrative forms, copying, and arrange for courier service and overnight deliveries.

  • Maintain office clerical, filing and record keeping systems.
  • Maintain contact and other databases for company.
  • Support the Accounting Manager and team where required.
  • Collect and organize all property information in a format for quick reference.
  • Must be available to work after hours and weekends as needed.

First Year Expectations

1.) High level of proficiency in Property Management functions.

2.) Become proficient in Yardi property management and lease administration

3.) Assimilate into a hard-workingmotivated office.

4.) Enjoy the position responsibilities and develop mindset as a good steward of all Third-Party Client and Internal Client investments.

Qualifications

To perform this job successfully, the individual must have a working knowledge of all areas of commercial real estate management, including, but not limited to engineering, leasing, landscaping, construction and security. The ideal candidate will have B.A./B.S. degree with 2-4 years of related work experience. The position will require attention to detail, excellent technical skills, ability to multi-task, and a solid foundation/understanding of finance, scheduling, estimating, budgeting, quality control, and contracts. Ability to read and correctly interpret leases, contracts, and construction plans/drawings. Excellent organizational skills are an absolute must. Requires computer literacy in Excel, Word, Outlook and Yardi.

Job Type: Full-time

Pay: $1.00 – $2.00 per year
