Description

The Assistant Property Manager will assist in all aspects of management of properties in accordance with company policies, procedures and standards. Develop knowledge and skills in the areas of asset maintenance, customer service, financial responsibilities and all aspects of property management for the assigned buildings with the oversight of designated property manager(s). Represent Highwoods Properties in a professional manner to customers, vendors and the general public.

Responsibilities:

  • Work with all departments to insure a seamless customer experience
  • Follow-up on all customer concerns/inquiries
  • As directed by property manager, conduct property inspections and review, track and respond to customer service requests in a timely and thorough manner
  • Assist in preparation of monthly reports
  • Assist property manager with the preparation of operating expense and capital budgets
  • Where required, complete monthly review of financial reporting to ensure compliance with the approved budgets and reforecast as directed by property manager
  • Assist the property manager with the development of specifications and qualifications for vendor contracts and the development of purchase orders
  • Assist with the negotiation and execution of vendor contracts
  • Vendor contract administration including VQF/COI and expirations
  • Work with vendors (ex. landscaping, janitorial, etc.) under the guidance of assigned property managers
  • Prepare electric meter and miscellaneous service billings for our customers
  • Coordinate/review overtime HVAC requests with maintenance technicians
  • Assist the property manager in managing customer move-ins and move-outs
  • Provide suite and directory signage, customer welcome boards and other signage as requested
  • Maintain customer and vendor contact lists in SalesForce
  • Maintain card access system and waiver requests for assigned buildings
  • Update and maintain customer handbooks/welcome packages
  • Create electronic files as directed by property manager
  • Assist property manager with creating and distributing memos to customers
  • Be available, as needed, to perform on-call duties and maintain a status of active communication at all times
  • Other projects which may be assigned by the property manager or director of asset management

Requirements

Strong interpersonal skills.  Must be detail-oriented and analytical.  Effective organization and time management skills.  Excellent written and oral communication skills. Proven record of providing excellent internal and external customer service.  Knowledge of basic business practices.  Computer proficiency MS Office and Internet.

Education/Experience

Bachelor’s Degree preferred, or an equivalent of education and experience.  Five years of property management experience required.  Budgeting/reporting experience helpful. 

Work Environment

This job operates in a professional office environment, as well as throughout a variety of properties.  May be exposed to construction sites and various weather conditions.  This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets.

Physical Demands

While performing the duties of this job, the employee is regularly required to talk, hear, see, sit, walk and stand for prolonged periods of time; use hands to finger, handle and feel; and reach with hands and arms.  The employee may occasionally need to climb, balance, bend, stoop and crouch.  Must be able to inspect all areas of the properties, including roof and basement.  The employee may occasionally lift, push or pull up to 25 pounds.  Ability to read, understand and to communicate information and ideas clearly in writing and orally required.
