Full Job Description

Summary:

The Assistant Property Manager (APM) reports to the JRC Trustees. The APM organizes and coordinates office administration and procedures, in order to ensure JRC facility effectiveness, efficiency and safety. The APM is responsible for developing intra-office communication protocols, streamlining administrative procedures and internal inventory controls. Experienced in handling a wide range of administrative support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the challenges of supporting an office of diverse people.

Main Responsibilities:

· Point of contact for mailing, shipping, supplies, equipment, bills and errands

· Manage relationships with vendors, service providers, ensuring that all customers are invoiced on time.

· Provide general support to visitors

· Maintains office operations and procedures

· Prepares Payroll

· Establish historical reference for the office by outlining procedures for protection, retention and record disposal

· Keeps JRC trustees informed at all times

· Prepares weekly/monthly financial reports

· Responsible for ensuring financial objectives are met by preparing monthly and quarterly budgets and analyzing variances

· Design and implement office policies and procedures

· Ensure filing systems are maintained and current

· Ensure security, integrity and confidentiality of data

· Greets customers, provides information as needed

· Schedules expenditures

· Handle customer inquiries and complaints

· Maintain a safe and secure working environment

· Other duties assigned

Required Skills:

· Proven office management, administrative or assistant experience

· Attention to detail and problem solving skills

· Excellent written and verbal communication skills

· Knowledge of accounting, data and administrative management practices and procedures

· Computer skills and knowledge of office software packages

· Proficient in MS Office products

· QuickBooks expertise required

· Supply Management

· Tracking Budget Expenses

Pay: $19.00 – $21.00 per hour
