Overview

The Assistant Property Manager plays a key administrative role in supporting the Property Management team in ensuring the efficient operation of a portfolio of commercial properties. This position requires exceptional organizational skills, keen attention to detail, and a willingness to learn the property management industry. The ideal candidate will be responsible for handling administrative tasks, maintaining records, and assisting in tenant communications and financial reporting.

Key Responsibilities:

  • Respond to tenant requests and concerns promptly and professionally. Maintains quality tenant relations and builds positive relationships with tenants via phone or email.
  • Maintain accurate tenant files, lease agreements, and property-related documentation.
  • Receive and follow up on work order requests, coordinate with the building technician or vendor(s) as appropriate.
  • Assists in the preparation of new projects gathering information for operating and start-up budgets. Complete Welcome Tenant Packages, Rental Commencement Letters and Tenant Space turnover.
  • Track and file tenant and vendor insurance certificates. Maintain follow-up system for expiration.
  • Coordinate with Accounting Department to assist in tracking and processing rent payments, tenant fees, vendor invoices and other financial transactions.
  • Assist in the response and resolution of after-hour emergency calls as needed.
  • Ensure compliance with management agreements
  • Learn and maintain familiarity with property management software and tools.

· Administrative Tasks: Handle day-to-day administrative tasks such as filing, record-keeping, office supplies and correspondence. Assist with and/or complete miscellaneous tasks and special projects.

· Perform other duties as assigned.

Qualifications:

  • High school diploma or equivalent required; Bachelor’s degree in business administration, real estate, or a related field is a plus.
  • Previous experience in property management, real estate, or a customer service role is beneficial but not required.
  • Strong organizational skills with high attention to detail.
  • Eagerness to learn and develop skills in property management and real estate.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with property management software is a plus.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with the ability to build positive relationships with tenants, vendors, and team members.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.

Job Type: Full-time

Pay: $45,000.00 – $50,000.00 per year
