JOB SUMMARY
Assistant Property Manager is responsible for general administrative support for the Real Estate Property Management and Engineering Team. The Assistant Property Manager will demonstrate high level of professionalism and customer service.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Candidate performs a variety of administrative tasks including but not limited to phone support, filing, typing, distribution of correspondence, etc.
Maintains tenant, vendor and property files in accordance with developed standards.
Administers accounts payable and accounts receivable. Codes invoices for payment and inputs into accounting system.
Works with Property Manager and Engineering staff to prepare and coordinate bid proposals, service contracts and work orders.
Participates in performance oversight of all contractors for recurring and one-time services.
Oversees tenant maintenance work order system.
Performs regular inspections of the properties as well as landscape and janitorial inspections or any other inspections as directed by the Property Manager.
Coordinates tenant events and appreciation.
Assists with publication and distribution of tenant newsletter.
May initiate rent collections correspondence and phone contact with tenants.
Assists with budget preparation by researching costs for supplies and services and obtaining bids as directed.
Assists with preparations of monthly and quarterly management reports.
Assists with preparation of Common Area Maintenance (CAM) dues, invoices and related correspondence.
Performs other duties as assigned.
