Description

The Assistant Property Manager is responsible for assisting with the daily management oversight of property, including operations, personnel management, repairs, maintenance, tenant relations, strategic planning, fiscal planning and risk management. The Assistant Property Manager reports directly to the Property Manager.

Essential Duties

  • Direct and participate in the daily operations of property.
  • Actively monitor the collection and deposit of all rental income, including the collection of delinquent accounts and evictions.
  • Provide outstanding customer service to property owner, ensuring strong client relations.

Responsibilities

  • Respond timely to all tenant requests.
  • Accept rental payments and post in a timely manner; post late fees.
  • Record collected payments and prepare bank deposit slips.
  • Ensure invoices received from properties are approved, entered and paid in a timely manner; communicate with property managers and Director of Leasing regarding accuracy of invoices.
  • Ensure all proper/legal documents from vendors are received, current, accurately verified and filed.
  • Assist with risk management; help compile monthly property walkthrough inspections.
  • Prepare, review and close financial books for assigned properties on a monthly basis.
  • Prepare and review quarterly and yearend reports.
  • Provide accounting support to property manager.
  • Assist in lease transactions by creating leases, gathering applicant history and credit approval.
  • Maintain accurate monthly commission sheets on leases, renewals and delinquencies for bonus purposes.
  • Enter all accounting and financial reports on assigned due dates in Egnyte.
  • Submit Delinquency Explanations Report weekly.
  • Communicate with property manager and the Director of Leasing weekly to discuss financial and accounting updates as related to property performance.
  • Comply with federal and state regulations, as well as company policies and procedures.
  • Other duties as assigned.

Job Qualifications/Experience

  • 2+ years of assistant property management experience.
  • Medium to advanced ability to use Microsoft Excel for reporting and budgeting.
  • Excellent communication and interpersonal skills.
  • Strong organizational, analytical and decision-making skills.
  • Ability to work any day of the week, including holidays and travel as needed.
  • Experience using Yardi property management software preferred.

Education

Bachelor’s Degree (BS/BA) in Business or related field, or equivalent combination of education and experience.

Language Skills

Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Reasoning Ability

Ability to define problems, collect data, establish facts, and draw valid conclusions.
