Full Job Description

A Brief Overview
Support the Property Manager or higher staff in managing all aspects of a single property or portfolio of commercial properties including marketing, operations and financial activities. Responsible for front-line customer service, identifying trends in tenant work orders, and ensuring metrics are being met with service requests. Represent the property owner to tenants, co-owners and the public.

What you will do

· Assist the Property Manager in maintaining a close relationship with tenant contacts to ensure timely resolution of tenant requests. Respond to tenant needs, ensuring that administrative and building technical staff resolve problems promptly. Ensures that services are provided in compliance with policies, procedures, regulations and contractual obligations and standards.

· Administer the tenant system (Angus), including dispatching work orders, training tenants and employees, and monitoring reports and completion of work orders.

· Assist in fostering long-term relations with tenants.

· Respond to all tenant requests and calls, determine urgency, prepare work orders, and consult with property management as necessary.

· Coordinate the day-to-day tenant communications, including after-hours memo notifications of evening contractors, scheduling the vendor service dates and times, etc. Assist in creating the move-in packages for property management to distribute.

· Assist with annual fire drills and fire warden trainings as well as other tenant correspondence/communication.

· Plan tenant events in accordance with the budget.

· Assist in preparing and delivering timely, accurate and complete reports.

· Assist property management in pulling reports from the tenant system.

· Review reports from tenant system with Assistant Property Manager and/or Property Manager to ensure tenant metrics are being met.

· Maintain and update security access database, which includes programming the cards and generating monthly access reports.

· Support the Property Manager in managing day to day maintenance, capital, and TI projects by preparing project schedules, monitoring activities, completing punch lists and assist in tracking the budget. Assist in performing periodic regular property inspections. Recommends alterations, maintenance and reconditioning as necessary.

· Assist in Managing Vendors and vendor contracts as well as prepare vendor service contracts and collection of proposals. Review and recommend approvals to Property Manager for accurate payment of vendor invoices on behalf of the property owner in compliance with the management agreement and Tower Policies.

· Responsible for assignment of Purchase Orders if applicable. Assist with the preparation of accurate tenant billings. Assists in coordinating tenant move-ins and move-outs, and “walks-through” spaces with tenants and tenant improvement department.

· May assist in producing research data on budget line items or entering budget data provided by manager into budget reports. May gather and confirm preliminary data for accounts receivable aging reports. Performs other duties as assigned.

Qualifications

· 3 years or more Minimum of two years’ experience in front-line customer service

· 2 years or more Progressive experience in Property Management

· Proficiency in Microsoft Office, High

· Must have exceptional telephone, verbal and written communication skills. High

· College level course work completed in real estate Low

· Real estate software experience preferred Low

· Must be self-starter, self-disciplined, and highly organized. Medium

· Must have a strong work ethic, be team-oriented and highly dependable Medium

· CSM, CPM or RPA credentials
