This position is designed to prepare individuals for a position as a property Manager. An Assistant Manager will be asked to assume greater responsibilities upon and applying knowledge of all aspects of property management as well as displaying maturity and good judgement. The Assistant Manager serves as the individual responsible for the property in the absence of the Property Manager and serves as a role model to peers.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Include the following. Other duties may be assigned.
ADMINISTRATIVE
- Works closely with the Property Manager in learning all aspects of management including administrative and financial duties.
- Works closely with the Property Manager in developing an integral team that effectively sells the quality and professionalism of TRG Management and its properties.
- Inspects property common areas, apartments units and grounds on a regular basis.
- Offers recommendations to management regarding improvements to the overall operation of the community.
- Demonstrates an interest in and understanding of financial and operational reporting requirements.
- Interviews prospective residents.
- Verifies all necessary information in qualifying the prospect.
- Forwards work orders from residents and follows-up within a week of its inception.
- Monthly lease renewals.
- Monthly market survey.
- Notices to residents; such as 3-day notices; 7-day notices in any rule/regulation issues.
- Answers phone.
FINANCIAL
- Collects all rent payments from both current and previous residents.
- Makes daily community deposits in regards to rent collections and any other miscellaneous income.
- Assists in the processing, monitoring and recording of purchase order invoices into Budget Control Log.
- Distributes non-payment notices to all delinquent residents and completes follow-up activity in regards to non-payment of rent, or eviction proceedings.
- Maintains a general working knowledge of state laws in regards to the collection of delinquent accounts.
LEASING
- Inputs daily all resident information in relation to walk-in traffic, move-ins, move-outs, apartment conditions, etc.
- Assists Property Manager in ensuring that all leases and addenda are completed accurately in regards to addresses, names, rates, etc.
- Maintains all current and previous resident files.
- Supports the overall marketing efforts and offers input and suggestions in regards to promotions. Advertisements, rate increases, etc.
- Assists in various leasing activities as required, with emphasis in leasing.
- Maintains up-to-date knowledge of market and competitive properties.
- Assists the Property Manager with renewals of existing residents.
LEADERSHIP
- Represents the company in a professional manner at all times.
- Assists the overall team effort through effective leadership.
- Analyzes concerns associated with apartments, which are slow to lease, and offers recommendations.
- Assumes supervisory responsibilities and management of the property in the absence of the Property Manager.
- Understands and complies with Fair Housing laws and standards.
CUSTOMER SERVICE
- Assists in the handling of resident service requests and various concerns as required.
- Conducts follow-up activity as needed with new and current residents in order to establish and maintain positive resident relations.
OTHER JOB FUNCTIONS
- Assists with and attends community sponsored resident function and activities.
- Assists in creating the monthly newsletter.
- Attends and participates in training classes and seminars as requested.
- Maintains open communication with Property Manager and Maintenance Supervisor.
- Performs other duties as assigned.
SUPERVISORY RESPONSIBILITIES:
Manages subordinate supervisors who supervise other employees in the property. Is responsible for the overall direction, coordination, and evaluation of these units. Also directly supervises non-supervisory employees. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

QUALIFICATIONS:

EDUCATION AND/OR EXPERIENCE:
One-year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral. Or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
COMPUTER SKILLS:
To perform this job successfully, an individual should have knowledge of Internet software; Project Management software; Spreadsheet software and Word Processing software.
CERTIFICATES, LICENSES, REGISTRATIONS:
NALP within one year of employment.

Scheduling: The employee is subject to schedule changes and/or overtime as required by the job and his/her supervisor. This may include working weekends, working after the course of normal business hours and at other times as required by the job. The employee is subject to these schedule changes on as little notice as 24 hours.
