Assistant Property Manager
Who we are:
Waterford Properties and Real Estate (WPRE) was established in the late 1990s as part of a strategic alliance with Waterford Construction & Development. WPRE now manages the Common Area Maintenance (CAM) for close to 50 Office Park associations with medical and professional businesses across the Tampa Bay and Orlando areas. WPRE also manages a portfolio of commercial real estate leases. Waterford Properties and Real Estates continues to work closely with Waterford Construction & Development which has built over 500 individual medical and office buildings, totaling over 1.5 million square feet of commercial space.
Job Description
This position will support many aspects of the of Waterford Properties and Real Estate’s day-to-day operations. This includes working directly with the organization’s Property Manager, Accounting department and Sales/Leasing team. The Assistant Property Manager will be integral in the creation of
Association dues invoicing, answering Association Member inquiries, supporting property common area maintenance requests, processing covenants, conditions, and restrictions (CCR) violations, and supporting annual meeting preparations.
In addition, the Assistant Property Manager will work directly with Sales and the Owner to support the lease renewal workflow of its commercial real estate portfolio. This includes oversight of lease payment collections, monitoring lease expirations, and ensuring leasees have required insurance coverages.
It is important that the applicant be a team player as they will work with many aspects and individuals across the organization.
Duties and Responsibilities
- On a quarterly basis prepare and distribute association member dues statements using the organization’s property management software, Yardi Voyager. Work with both Accounting and the Operations Manager to ensure invoicing has been generated accurately.
- Ensure communication, follow-up, and demand letters are sent to Associations and their members as part of the delinquent dues collection process.
- Work closely with the accounting team to maintain accurate records as it relates to late fees or interest from past due collections for both commercial rentals and Associations.
- Process water and sewer invoicing for the Associations.
- Maintain accurate contact records of all tenants, building owners, and association board members.
- Work with the Operations Manager to ensure each Association’s web-based Client Portal maintains accurate information.
- Prepare and distribute Welcome Letters to new Association building owners. This involves working with the organization’s sister company, Waterford Construction & Development, after newly constructed buildings have been completed and Certificate of Occupancy has been received.
- Assist the Property Manager with informational communications, common area oversight, common area maintenance for all managed Associations and commercial rental units. This includes the processing covenants, conditions, and restrictions (CCR) violation notices.
- Review/coordinate any exterior building change requests with the architectural committee for approval. This includes new signage review and approvals.
- Help in the preparation, scheduling, and document creation of materials for all year- end association meetings. Administer any work related to these meetings and record keeping.
- Work with the Owner and Sales to update lease renewals and addendums for current tenants across its commercial real estate portfolio.
- Process onboarding materials for new leased tenants. Distribute Welcome Letters that show tenants responsibilities as per the terms of the lease.
- Notify the Owner and Sales in advance of any lease renewals. Work with those teams to contact tenants and/or prepare for the end of or start of new leases.
- Ensure all rent charges and insurance certificates are collected in accordance with the terms of tenants signed leases.
- Work with the organization’s Controller in the preparation of Association financial year-end reporting.
- Maintain all necessary procedure manuals.
Education and/or Experience
- 3+ years of real estate property management exposure; commercial condo association or HOA exposure a plus.
- 3+ years experience using Yardi Voyager.
- Bachelor’s degree preferred, but not required with equivalent work experience.
- Licensed Community Association Manager (LCAM) a plus, or willingness to obtain LCAM certification in the first year of employment.
Knowledge/Skills
- Proficiency in Microsoft Office programs; reporting and automation knowledge a plus.
- Professional communication skills, demonstrated in both writing and conversation.
- Demonstrated ability to handle multiple projects and details simultaneously.
