Full Job Description

Xenia is a full services real estate services firm that specializes in the development and management of facilities occupied by the federal government. With over 1 million square feet under management, we provide the depth and experience offered by large national firms in a boutique setting. We are currently looking for a new Assistant Project Manager to join our team. The ideal candidate is a talented and highly motivated individual with some experience working in the real estate sector.

EXPERIENCE: 1+ years (minimum).

EDUCATION: AA degree

JOB RESPONSIBILITIES:

  • Assists and directs Facility Technicians in addressing the day to day maintenance responsibilities including but not limited to repairs, preventative maintenance, installations, and construction in a timely manner and according to company policies and procedures in order to maximize the property’s occupancy and return on investment.
  • Handle incoming phone and email correspondence and transferring correspondence to the appropriate team member.
  • Input, manage and follow up with all work orders in property software management system.
  • Primary team member responsible for maintaining and building a list of vendors for every trade associated with a property.
  • Regularly coordinate a face to face meet with the Facility Technicians to discuss (i) work orders, (ii) technical property issues, as well as (iii) review current organizational policy and practices in an effort to suggest new procedures that will improve efficiency and reduce costs.
  • Provide a “snapshot” narrative summarizing the business and maintenance activities on a per property basis to Director of Real Estate. The narrative will be incorporated into the monthly reporting to ownership and/or asset manager.
  • Primary team member responsible for building and management of property handbooks.
  • Collaborate with Director of Real Estate on business development projects.
  • Assists with correspondences, reports and general administrative projects.
  • Other duties as assigned.
