Assistant to the Property Manager, Tampa

Apartment Building office in Tampa is currently seeking a full-time assistant to the Property Manager. The Assistant to the manager is responsible in assisting the Property Manager in the overall administrative operation of the property and the day to day implementation of policies, procedures, and programs that ensure a well-managed, well-maintained community.

Responsibilities include but not limited to:

  • Direct contact/communication with Tenants, Property Manager, owners, contractors, engineers, and real estate professionals.
  • Take residents’ concerns/requests pertaining to any/all building related issues
  • Assisting residents with questions, comments and concerns.
  • Coordination and scheduling of routine maintenance.
  • Contact and place service orders with maintenance staff or specialty vendors/contractors
  • Process invoices
  • Solicit bids for maintenance work
  • Perform miscellaneous job-related duties as assigned that include assistance with administrative management issues and policies including administrative projects and tasks as assigned by the property manager
  • Preparation of meeting materials, notices, memos, other correspondence & mailings meeting packets, and community newsletters and updates.
  • Filing documents and keeping accurate records, as well as maintaining the official records for the management office.
  • Processing and collecting dues payments.
  • Conducting delinquency control and managing the collection process.
  • Monitoring and assisting with rules and regulations enforcement.
  • Assisting the Bookkeeper with various bookkeeping functions for each property.
  • Assists with any other assignments delegated by the Property Manager
  • Responds promptly to security issues on property

Education and Experience

3-5 years of stable work history

Minimum 2 year experience in apartment building offices; 3 years or more is a PLUS

Proficiency in MS Word, MS Excel and QuickBooks or Yardi, or Rent Manager or Propertyware or Buildium or any other property manager software.

Must be able to effectively speak and write English and Spanish

Must be a high school graduate; College Degree is a PLUS

Full-time Position. Typical Schedule, Monday through Friday, 9:30:00AM – 5:30 PM
