Position Summary

The Assistant to the Vice President of Programming & Marketing is responsible for administrative support and provides specialized program support for the Vice President of Programming & Marketing. The Assistant performs a wide range of support activities including compiling weekly reports, preparing contract administration packages, preparing spreadsheets, preparing correspondence, reports and presentations, handling information requests, planning meetings, providing invoice and reconciliation support, general administration, maintaining electronics folders, and maintaining calendars and schedules.

Primary Duties and Responsibilities

  • General administrative assistance to the VP.
  • Maintains the Daily Sales Tracking grid and other regular reports.
  • “Drives” and is responsible for scheduling weekly meetings.
  • Traffics spots and ads as directed by the VP and Marketing Director.
  • Updates ad plans with all appropriate invoice information as bills are submitted to accounts payable.
  • Maintains Marketing and ad plan files, databases, and the Marketing Intranet page.
  • Returns sales solicitation calls and emails requesting appropriate proposals be submitted.
  • Schedule will include some nights and weekends and regular appearance/participation in on- and off-campus community events. Manages schedule accordingly with partnership from the VP.

Performance Qualifications

Minimum Qualifications

  • High school diploma or equivalent, with at least two years of experience in an office or administrative support position. Additional education may not be substituted for this experience requirement.

 Special Skills/ Abilities

  • Proficient (intermediate+ level) in Microsoft Office applications including Outlook, Excel, Word, PowerPoint, Publisher, OneDrive, etc.
  • Creative self-starter who can successfully manage multiple projects and respect multiple deadlines while changing priorities on a tight schedule.
  • Motivated individual with the ability to maintain a high level of confidentiality, demonstrate strong organization skills and attentive to details.
  • Aptitude for learning new software including, but not limited to: Tessitura, Tessitura Analytics and RMA (proficiency must be attained within 6 months).
