Title: Commercial Assistant Property Manager
Department: Asset Enhancement
ROLE:
To act in a support position to the property management team to: drive and execute value add strategies to meet and exceed targeted investor returns for assets under management; support the property management team to continue to provide excellent service to the Tampa office portfolio; and to represent The Dilweg Companies, LLC well in the community and in all professional and industry relationships.
DUTIES AND RESPONSIBILITIES:
To provide direct support and assistance as needed to the property management team in the following tasks:
- Routine site inspections with the property management team.
- Meet with tenants, vendors and other third parties on site to ensure proper actions are being taken. Seek out improvement opportunities and work with property team to assess the best means of delivery.
- Complete and process tenant bill-backs for repair items and other services that need to be charged back to the tenant per their lease agreement, as directed by the PM.
- Set up new vendors for payment, and follow up with insurance and W-9 requirements.
- Complete lien waivers for vendor payments whenever needed per policy. Help the team follow up with incorrect or insufficient invoicing and provide other efforts of streamlining the accounts payable process.
- Draft and send tenant default letters, lease compliance letters, and other general announcement letters whenever needed to advise the tenants, as directed by the Property Manager.
- Maintain an organized and timely electronic and hard copy filing system within the office.
- Welcome new tenants by tracking their move-in date, preparing and distributing new tenant welcome letters, updating and delivering new tenant handbooks, and assisting with ordering and coordinating installation of new tenant signage.
- Assist in the annual tenant survey process.
- Assist with implementation and oversight of the maintenance tracking system, and ensure appropriate follow up with the tenants and service technicians as needed.
- Track and update tenant email and emergency contact listings for each property, and compile and update vendor listings for each property.
- Assist Property Management team with the rent collections process.Education and Experience Requirements:

- A college degree preferred
- Two to four years relevant experience, in commercial office / retail management

- Read and understand leases.
- Utilize computer software well (Word, Excel, Outlook, and proprietary commercial real estate programs.)
- Relate effectively to property owners, third party managers, leasing agents, brokers, community representatives and service providers.
- Communicate well in writing and orally.
- Interact via email, phone and in person with the commercial real estate community, especially with other analysts and brokers.Competencies:
