Position Details
The Office of Residence Life at The University of Tampa has a new position available for an Associate Director of Housing Operations who will provide students, families, residential staff, and campus partners with a central person to assist them with all housing operations including, specifically housing assignments, key management, and operational oversight for a residential community of approximately 4,500 students. This person will report to the Director of Residence Life. This position seeks a detail, service, and solution oriented individual, who will manage housing operations and appropriately respond to complex inquiries from students, parents, and campus partners. Additionally, this position will collaborate within the residence life team and more broadly with colleagues across campus to manage the daily operations of the residence halls.
This is a 12-month, live-off position, yet this position will assist with large-scale emergency response when needed. The Associate Director will be expected to work some evenings and weekends to be determined in conjunction with the position supervisor. Responsibilities
1. Manage all housing assignments, selection processes, and room changes for new and continuing students including fall, winter, spring and summer terms.
2. Enter and maintain all housing data in Residence by Symplicity and create Residence by Symplicity reporting vehicles.
3. Hire, train, and supervise professional and paraprofessional staff members.
4. Oversee processes for cancellations, refunds, students not enrolled, not financially cleared, and not in compliance with University policies.
5. Oversee updates and processes for student meal plans, building access, and required vaccination records.
6. Communicate processes and all responses to students, families, and staff/faculty regarding housing operations and coordinate individual correspondences with assistance of residence life staff.
7. Meet with residents and parents as needed to discuss housing assignment processes.
8. Coordinate occupancy verification.
9. Prepare statistical reports tracking historical and current occupancy data for internal and external constituents as requested.
10. Initiate and implement policies and procedures related to assignments and operations.
11. Collaborate with the bursar, dining services, health center, information technology, and Spartan card office regarding assignments, billing, and operations.
12. Work closely with families, admissions, athletics, international programs, ROTC and student disability services for housing assignments.
13. Manage residential key tracking, distribution, and reporting.
14. Oversee residence life staff member administering loan key operations at the Vaughn Information Desk.
15. Liaison with facilities management to ensure that day-to-day facilities operations are performed consistently and effectively to achieve high quality outcomes.
16. Coordinate fire drills, room inspections, and opening/closing building walk throughs.
17. Respond in an emergency capacity as needed for the residential student population.
18. Contribute as part of the residence life leadership team to the departmental strategic planning and assessment efforts.
19. Assess and propose continuous improvements to housing operations to address student satisfaction and learning.
20. Participate in departmental, divisional, and institutional committees and events including registration task force and housing operations team.
21. Perform other duties as assigned by the Director of Residence Life.Qualifications
The successful candidate will have:
1. A Master’s degree in higher education, student affairs, or related field;
2. Three years of professional experience with at least two years in residence life in a college or university setting;
3. Experience with housing assignments software and strong computer skills including creating statistical reports and track housing trends;
4. Experience with professional and paraprofessional staff supervision, recruitment and selection;
5. The ability to collect and analyze data and apply it to the needs of the department;
6. Worked effectively as part of a team, including demonstrating flexibility with a continued commitment to high quality results;
7. Experience with managing confidential and sensitive matters;
8. Strong ability to manage multiple tasks simultaneously with a commitment to high quality results, along with follow-through with responsibilities and communications in a timely manner;
9. Strong organizational skills, including effective time management and prioritization capabilities;
10. Excellent written and verbal communication skills;
11. Comprehensive experience in delivery of student services including experience working with diverse populations;
12. Ability to work some evening and weekend hours as necessary.
