Full Job Description

The Association Services Representative position is a full-time position working 40 hours per week. This person works closely with the Association Manager. The Association Services Representative requirements, duties and qualifications are as follows:

Requirements:

  • Must be energetic and have excellent customer service skills
  • Must be positive, confident, neat in appearance and upbeat
  • Must be able to make decisions on the spot
  • Must display a high level of interpersonal skills and phone etiquette
  • Must have computer skills
  • Must have reliable transportation and be punctual

The physical demands of the position are listed in accordance with the requirements of the ADA as:

  • Body Position:

Standing – 25% of the time

Walking – 25% of the time

Sitting – 50% of the time

  • Body Movements: Lifting and exerting force is required up to 35 pounds.
  • Senses: Vision – Close Vision and ability to Adjust Focus. Hearing – Ability to hear sufficient to converse in person and on the phone.
  • Mental Requirements: Fluency in the English Language (read, write, and speak) is required as the majority of customers, vendors, and employees communicate only in that language. The mechanical abilities requirements of this position include the use and operation of office equipment and machines, including computers and printers. The ability to perceive spatial relationships is a very minor requirement.

Responsibilities and Duties:

  • Receive and process incoming phone calls and correspondence received by mail and email
  • Enter work orders
  • Prepare and send violation letters
  • File unit owner correspondence and maintain unit owner files
  • Scan unit owner correspondence and upload to company software
  • Assist homeowners in setting up Website accounts in company software
  • Respond to inquiries regarding late letters and coordinate with accounting
  • Maintain leasing information as required
  • Gate access management
  • Assist Homeowners and work with community committees at the direction of the Association Manager
  • Other duties that may be assigned by the Supervisor

Qualifications:

  • High School Diploma
  • HOA/COA Property Management experience a plus but not required
  • Must be able to work Monday – Friday from 8:30 am to 5:00 pm
  • The ability to sit at a desk for long periods of time
  • Driving is a requirement for this position, a dependable vehicle and clean driving record are required

Compensation: TBD

Benefits: After 90 days
