Position Description

Overall responsibilities include assisting the Community Manager with ensuring their apartment community achieves maximum pre-determined marketing results. Implement company policies in leasing, accounting, maintenance, resident relations, and management reports. Has authority and responsibility to perform the functions and tasks described in the job description. Must have the ability to assume the role of the Community Manager if the Community Manager is unavailable to perform their functions.

TEAM MANAGEMENT:

  • Assist Community Manager as needed with hiring and training all office personnel with the assistance of the Community Manager. Act as a leader within the team by providing direction and guidance as needed.
  • Reviews, approves and submits all bi-weekly payroll in the absence of the Community Manager.
  • Reviews all bonuses monthly and provides to Regional Manager in a timely manner for approval and then enters in payroll system in the absence of the Community Manager.
  • Review Grace Hill course assignments monthly and completes required courses in a timely manner as assigned.
  • Attends monthly safety classes and adheres to all safety and OSHA requirements.
  • Adhere to and follow all Workmans’ Comp claim policies including submission of all forms in a timely manner in the absence of the Community Manager.

FINANCIAL PERFORMANCE:

  • Assist with the collection of all budgeted income
  • Complete deposits daily
  • Oversee all aspects of accounts receivables while adhering to all local, state and federal laws with regards to fair collections practices.
  • Review aged receivables reports daily to determine if balances due and prepaid credits are accurate.
  • Complete collection phone calls daily ensuring that all contact is thoroughly documented in management software system.
  • Inspecting those apartments that owe a balance to determine if the resident is still present or if they have skipped.
  • Prepare and file evictions according to company policies
  • Meet with Community Manager weekly to discuss collections status
  • Accept written notice to vacates from current residents and provide them with all appropriate documents.
  • Upon resident move out, inspect apartment home for damages making certain to take pictures.
  • Perform Financial Move-out Statements according to company policy and state statutes.
  • Review move-in files for accuracy ensuring that all fees, prorates etc. are accurately charged and collected prior to releasing move-in keys.
  • Review monthly scheduled charges as compared to all lease documents to ensure resident(s)’ monthly charges are accurate.
  • Upon reviewing entire file, provide to Community Manager for final review and execution of Lease Agreement.
  • Assist Community Manager with maximization of gross rent potential by offering suggestions of raising market rents as much as possible through analysis of competitive market, availability and pending renewals.
  • Review Availability Report to ensure leasing team has not held a vacant apartment off the market for more than 10 days without Community Manager approval.
  • Assist Community Manager with renewal program
  • Review Income Statement weekly to ensure all income was coded and posted to proper G/L account

OTHER COMMUNITY PERFORMANCE FACTORS

  • Complete Fair Housing course annually via Grace Hill.
  • Ensure all team members adhere to all Fair Housing requirements and laws consistently in all facets of their job making certain to report any perceived violations to the Community Manager immediately.
  • Perform all aspects of leasing as needed.
  • Assist Community Manager with review all rental applications to ensure applicants meet all rental criteria requirements.
  • Review all move-in files for accuracy including a copy of active renters’ insurance and a completed Pet Interview Approval Form if resident has a dog prior to submitting to Community Manager for final review and execution of Lease Agreement.
  • Assist Community Manager with market ready apartment home inspections to ensure they meet Starka standards.
  • Market all vacancies accordingly by ensuring Craigslist Ads are posted daily and all internet advertising is up to date and appealing
  • Ensure leasing team is entering all traffic in management software system in a timely manner and following up with each prospective resident consistently to increase closing ratios.
  • Prepare and submit Incident Reports in a timely manner including providing all required information as outlined on reporting forms in the absence of the Community Manager.
  • Meet with residents as needed to ensure exceptional customer service at all times

JOB REQUIREMENTS

  • Must have valid driver’s license and dependable transportation
  • Ability to analyze and interpret numerical and financial data
  • Ability to handle stressful situations in a calm demeanor in order to diffuse and resolve any situation that may arise.
  • Ability to operate all office equipment including a telephone system, computer system, copier, scanner, fax machine etc.
  • Ability to utilize and demonstrate reasonable understanding of all computer software programs including but not limited to Microsoft Office, Outlook, Excel, internet web browsers as well as any management software programs in use.
  • Ability to lead a team without prejudice understanding that as a leader, it is always your responsibility to maintain a professional relationship with your subordinates.
  • Ability to work varying job schedule including evenings and weekends is required or necessary to complete assigned job duties.
  • Ability to operate a vehicle to perform company business
  • Job is intermittently sedentary but requires mobility a daily basis including the ability to climb stairs
  • Ability to work in office setting but will have daily exposure to outdoor environments including heat, cold, rain or any other weather conditions.
  • Ability to use repetitive motion of hands, wrists and fingers while utilizing computers or writing as needed.
  • Must have normal range of vision to complete required paperwork, operations of a computer or any equipment such as a golf cart.
  • Must have normal range of hearing and speech to communicate with others on the phone or in person on a regular basis.
  • Must always adhere to company professional dress code unless otherwise approved by Regional Manager or Director of Human Resources.
