POSITION SUMMARY:
Established family office looking to hire a full-time bookkeeper/administrative assistant. Must have QuickBooks experience. Responsible for accounts receivable, accounts payable, billing activity, collections, payroll and account reconciliations.
ESSENTIAL FUNCTIONS:
· Perform day to day financial transactions including verifying, classifying, computing, posting and recording accounts receivable data
· Apply payments to A/R invoices and remotely deposit checks into appropriate account
· Monitor all aged AR and work with cross function teams to resolve any issues
· Prepare and send billing invoices to tenants
· Verify discrepancies and resolve client billing issues
· Facilitate prompt payment of invoices by sending bill reminders and making collection calls.
· Charge expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries.
· Pay vendors by monitoring discount opportunities; verifying federal id numbers; scheduling and preparing checks; resolving purchase order, contract, invoice, or payment discrepancies and documentation
· Post information to accounting system regarding various property acquisitions and sales
· Conduct weekly reconciliation of every bank account
· Verify proper general ledger classification for expense reports
· Print and distribute monthly financial statements for various companies
· Import restaurant data into QuickBooks from POS software
· Maintain an orderly accounting file system and chart of accounts
· Provide clerical and administrative support to management as needed
· Experienced with property taxes
· Other duties as assigned
KNOWLEDGE, SKILLS & ABILITIES:
Education and/or Experience
· Associate (Required)
· 3 years of bookkeeping experience (Required)
· 2 years of QuickBooks experience
· Real estate or restaurant experience (Preferred)
· Property Management Experiences (Preferred)
Other Competencies and Requirements
· Ability to multitask and work with several companies in a fast-paced environment
· PC proficiency with advanced MS Office skills, most importantly in Excel
· Excellent organizational skills with the ability to work under pressure and prioritize workload
· Exceptional written, oral, interpersonal, and presentation skills
· Strong attention to detail and analytical orientation
