Responsibilities
- Provide marketing and administrative support to a brokerage team
- Spearhead the design and production of client presentations by utilizing multiple forms of graphics, specifically InDesign
- Proofread copy for spelling, grammar, and layout, making appropriate changes; responsible for accuracy and clarity of final product
- Assist with creating/editing the content of marketing materials, flyers, case studies, qualifications booklets, email blasts, invitations, announcements, presentation boards, aerials, etc. (using corporate standard templates)
- Prepare general correspondence, memos, proposals, agreements, charts, tables, graphs, etc.
- Apply corporate image to all material and maintain consistency in appearance
- Enhancing documents from a design perspective, creation and editing of graphic files such as maps, floor plans and site plans, and photo editing
- Assist with proposal responses and pitches to include writing and editing of company information, proposal text, and graphics
- General administrative support
- Coordinate calendars, organizes meeting, and assists in preparing brokers for meetings
- Keep clients, broker team members, and fellow administrative staff up-to-date on status of deliverables and deadlines
- Track listing agreements and deals; review calculations for accuracy and work with local accounting on cost recoveries and deal management
- Additional tasks as needed/requested
Requirements
- Bachelors Degree or equivalent work experience
- 3+ years of administrative support experience
- Advanced knowledge of Adobe Creative Suite, including: InDesign, Photoshop, Illustrator
- Proficiency with Microsoft Office Suite
- Excellent verbal and written communication skills
- Ability to exercise discretion in dealing with confidential information and highly sensitive issues
- Strong interpersonal skills and problem-solving ability
- Proven record of excellent internal and external customer service
- Excellent attendance and punctuality
- Detail-oriented, able to handle multiple projects simultaneously, and customer service oriented
- Superior organizational skills; sets priorities; meets deadlines; and carefully proofs own work
- Ability to work in a stressful, deadline oriented environment
- Upbeat, energetic, takes initiative, dependable, takes pride in work, and works well within a team
Physical Requirements
- Involves work of a general office nature; typically includes extended periods of sitting and/or operation of a computer for up to 8 hours a day
- Regularly required to talk, hear, and use hands and fingers to write and type
- Ability to speak clearly so others can understand you
- Ability to read and understand information and ideas presented orally and in writing
- Ability to communicate information and ideas in writing and orally so others will understand
- Regularly required to utilize vision abilities, allowing reading of printed material, graphics, and computer displays
