Nature of Work

This is technical and paraprofessional work and with heavy public contacts and responsibility for representing customer and building services public relations concerns of Pinellas County in construction permitting support services. An incumbent at this level possesses and applies the full range of core building services competencies and office support processes. Tasks: Completing permit and restatements as needed and accepting payments via credit card, checks or cash. Process voided permits and submitting for refunds as needed. Calling on building maintenance issues to facilities. Heavy telephone volume. Assisting inspectors gather information needed for their inspections. Answer incoming calls from homeowners/contractors requesting inspection results, asking for assistance with scheduling inspections and receiving approximate inspection times with their inspector. Take incoming sub-contractor lists and entering them in the system. Inputting inspection results or making corrections based on inspectors need. Answer questions about our forms, power request, certificate of occupancy issuance and taking payments for re inspections, after hours inspection, etc. by master card or Visa via the phone. At times meet with customers face to face when needed or asked. Work closely with different municipalities who request our services. Process power releases at the end of the day, complete municipality inspection billing monthly. Schedule low voltage inspections when requested and contacting the customer to set up by their schedule. Set up Pre-app and site plan meetings when requested.

Minimum Qualification Requirements

  • 3 or more years of highly technical administrative experience performing assignments directly related to building permit support (or intra-agency building permit support coordination or problem solving on building permit support administrative issues) in a heavy customer service public contact work environment; plus demonstrated experience in a broad range of administrative support, computer applications, math, and use of office equipment; or
  • 2 years of college, trade school, or vocational training plus 1 or more year of highly technical administrative experience performing assignments directly related to building permit support (or intra-agency building permit support coordination or problem solving on building permit support administrative issues) in a heavy customer service public contact work environment; plus demonstrated experience in a broad range of administrative support, computer applications, math, and use of office equipment; or
  • 4 or more years of college and some highly technical administrative experience performing assignments directly related to building permit support (or intra-agency building permit support coordination or problem solving on building permit support administrative issues) in a heavy customer service public contact work environment; plus demonstrated experience in a broad range of administrative support, computer applications, math, and use of office equipment; or
  • An equivalent combination of education, training, and/or experience.

Additional Requirements

  • Assignment to work a variety of work schedules including compulsory work periods in special, emergency, and/or disaster situations.

Illustrative Tasks (These are examples and are not all inclusive.)

  • Answers incoming phone calls, routing calls & directing customers to appropriate staff.
  • Provides customer service to contractors and property owners.
  • Explains procedures and assists with requests.
  • Processes financial transactions by credit card, cash or check.
  • Verifies and updates contractor licenses.
  • Sends and responds to emails.
  • Schedules low voltage inspections with customers.
  • Submits pre-power at the end of the business day.
  • Processing completed certificate of occupancy/certificate of completions.
  • Inputs sub-contractor forms and other forms when faxed or emailed to us. Later scanning them and attaching on the main directory.
  • Assists with questions regarding inspections and their results.
  • Performs related work as assigned or required.

Knowledge, Skills, and Abilities

  • Knowledge of Pinellas County’s common building, electrical, plumbing, gas, mechanical, and other code requirements.
  • Knowledge of Business English, arithmetic, and spelling.
  • Knowledge of permit record processes, procedures, and regulations.
  • Knowledge of various sources, platforms and delivery methods of permit records and documents.
  • Ability to apply computer applications and software.
  • Ability to meet the public using tact, communication skills, and job knowledge to assist and answer technical inquiries.
  • Ability to explain common building codes and requirements for construction permitting support services, both in person and by telephone and ability to maintain clear and accurate records.
  • Ability to operate a personal computer and other automated systems to enter and retrieve information, monitor work performed, and to communicate information in reports.
  • Ability to perform mathematical computations, analyze data, and prepare reports based on findings, and communicate technical information, orally or in writing, in a manner understandable to contractors, consultants, superiors, staff personnel, and the general public.
  • Ability to establish and maintain effective working relationships with community, superiors, fellow employees, and the general public.
